Abbott Administration Assistant in Zagreb, Croatia

The Assistant will support the team by organizing local and international events, congresses and conferences as well as, complete special assignments and projects as required. The candidate will be required to provide excellent and timely service, effective implementation, monitoring of relevant systems, procedures and policies and management of stakeholder relationships.

Key Accountabilities

  • Management of Eastern Europe marketing events documentation to ensure fast and smooth business process.

  • Ensure full compliance with legal & OEC policies and guidelines. Know & share with the team all latest procedures, train the team regularly to ensure good policies knowledge

  • Coordinate documentation between the office, partners and field employees

  • Prepare marketing events pre-documentation and seek approval based on the local policy of respective country in Eastern Europe according to the Company’s local current Policies and Procedures

  • Prepare and seek approval of invoices and provide closing documents as per local policy of respective country in Eastern Europe to Financial Controller of all events handled (i.e. Proctorship, Preceptorship, 3rd Party Congresses etc.)

  • Coordinate all marketing events pre & post supporting documentation. Prepare monthly reports of conducted work and submit to Dubai admin team to the registered form in a timely manner, for reporting purposes

  • Ensure that all documents submitted for events are complete, accurate and compliant

  • Ensure record keeping as per company policy and compliance requirements

  • Co-ordinate and support internal and external meetings and liaise with colleagues and external committees and contacts as required

  • Develop communications to the field, management, and attendees to ensure company-wide awareness of the event.


  • Bachelor’s degree in Business Administration or equivalent is required.


  • Experience to work in international environment/ projects. Cultural sensitivity

  • Commitment to work outside of normal working hours on occasions when required for program or event attendance (e.g. Conference and other internal offsite meetings)

  • A 'can-do' attitude that allows effective working across different functions and teams

  • Effective time management with a good sense of urgency

  • Ability to prioritize workload and deliver on time

  • Ability to work with discretion and respect confidential and sensitive information

  • When tasks and responsibilities are assigned outside the scope of normal duties, the candidate must understand the level of decision making for which he/she is responsible and if in doubt clarify this with his/her supervisor

  • Ability to work in a highly matrix and geographically diverse business environment

  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment

  • Strong organizational and follow-up skills, as well as attention to detail

  • Proficient in Microsoft Outlook, Excel and PowerPoint

  • Fluent oral and written English.
