Position Summary:

The Wisconsin Historical Society is seeking an Events Coordinator for our Wade House Historic Site, located in Greenbush, Wisconsin. The Event Coordinator is responsible for planning and coordinating the Wade House-s private facility rental program and in-house site events under the general supervision of and in collaboration with the Site Director. The Event Coordinator is responsible and accountable for proactive leadership, direction and support of the fundamental activities and functions vital to all phases of our rental program. This includes sales, marketing, account and customer management, in addition to logistical planning and event execution. This role also serves on an institutional team to enhance facility rental and private event opportunities across the entire Wisconsin Historical Society (WHS).

The core functions of this position include, but are not limited to:

-Develop advertising strategies to promote and plan for selling various rental locations on the Wade House grounds

-Create related online strategies for promotions on social media, digital advertising, and WHS website.

-Participate in external promotional events such as wedding shows.

-Appropriately respond and track all inquiries for rentals at Wade House.

-Schedule familiarization tours for potential clients. Create tour to best sell the facility as a rental facility including stagings, contact information with preferred vendors, and present options for rental levels.

-Collaborate with Site Director, Finance Department, and Central Purchasing to establish best practices and processes for contracting, scheduling of fees, and invoicing while ensuring state rules are followed.-Develop and maintain a calendar and database for coordinating event logistics, third party vendors, and clients.

-Create operational logistics (run of show) and furnishings infrastructure for rentals. Establish standard formats for run-of-show to communication event logistics, schedule, set-up needs, and other coordination.

-Coordinate internal logistics such as setup, maintenance, security, and janitorial needs for events.

-Develop and communicate event parameters and effectively guide clients to a positive event experience and coordination.


It is important submitted materials address the following specifications:

Minimally qualifiedcandidate will have experience in all of the following:

  • Experience with pre-planning event rentals including at least two of the following: engaging clients, recommending vendors, scheduling staff, keeping organized records, and managing contracts.

  • Experience marketing and promoting rental venues including social media outreach and attending promotional events such as wedding fairs or vendor expos.

  • Experience running rental events during the day of the event including at least one of the following: venue set-up, staff direction, vendor management, and client interaction.

In addition to minimum qualifications, awell-qualifiedcandidate will additionally have experience in one of the following areas:

  • Experience managing multiple venues and same day events within the same location.

  • Experience with wedding events including booking, contracts, and day-of operations.

  • Experience in revenue management and revenue reporting
