POSITION: Executive Assistant

The Commercial Banking Executive Assistant provides comprehensive support to the EVP, Chief Commercial Banking Officer (CCBO). This role focuses on managing projects, coordinating business line activities, ensuring effective communication within the department, managing CCBOs schedule and expenses.
Key Result Areas:
Actively and effectively manage the Chief Commercial Banking Officer’s calendar, ensuring he is well-prepared for meetings; manage confidential information appropriately.
Act as the liaison for all departments within the Bank regarding inquiries, scheduling, and projects related to the CCBO, fostering clear and collaborative communication.
Collaborate with Executive and Senior management on enterprise-wide projects impacting Commercial Banking, managing specific projects directly as assigned and coordinating with key stakeholders to ensure successful outcomes.
Complete various projects and special assignments by setting objectives, prioritizing tasks, managing time effectively, and solving problems to adjust plans as necessary.
Lead the planning and execution of all Commercial Banking events and meetings, including defining objectives, setting agendas, and managing logistics. Also, support the planning and execution of bank-wide and executive-sponsored events.
Assist CCBO and team in creating, producing, and updating materials to support strategic planning, tracking progress towards goals and objectives as needed.
Manage the onboarding program for new hires in Commercial Banking, collaborating with Learning and Development, Human Resources, and IT to ensure comprehensive onboarding and in-field learning.
Organize and take minutes for meetings as required by the EVPs.
Process and manage monthly expense reports for the CCBO and coordinate the annual budget process with Accounting and Management for the departments.
Establish and maintain effective working relationships with all levels of Bank employees and customers.
Contribute to the effective team management of all bank problems, issues and opportunities.
Perform additional duties as required.
Qualifications:
High school diploma required, with post-secondary education preferred, or 3-5 years of banking experience.
5+ years administrative experience supporting senior level management.
Strong organizational skills and the ability to meet multiple deadlines.
Ability to analyze information, formulate conclusions and recommendations, and the ability to work independently.
Strong interpersonal skills; professional manner.
Excellent written, grammar and oral communication skills.
Ability to maintain confidentiality of sensitive information.
Computer savvy, including advanced PC skills in MS Word, Excel, PowerPoint, Outlook, and ability to perform research on the Internet and prepare written summaries when required. Knowledge of Salesforce CRM helpful.
