Brand New Roles x 2 - Hybrid Location (North East Project) Permanent

These brand new roles as Document Controller will focusing on assuring and storing documents for major infrastructure projects and assisting in the creation of standardised structures to improve efficiency. You will be part of a team that conducts analysis of performance data, provides planning support on our construction projects, as well as specialist project management support across portfolios. This could be National Grid only, or as part of a Joint Venture team with our delivery partners. The aim of the role is to save time, money and stress and get the basics right, ensuring projects run the way they need to in order to reach Net Zero.

The prime focus on this role will be our major Eastern Green Link 4 (EGL4) (https://www.nationalgrid.com/the-great-grid-upgrade/eastern-green-link-3-and-4) Joint venture project with Scottish Power with a future project site planned for Walpole. In future you may look to assist with other projects such as EGL3.

For this role you can utilise any of our offices and would typically get together in person once or twice per month. This role reports into a PMO Manager who resides in Teeside.

You’ll enjoy the challenge of taking data and documents from legancy systems and create a world of secure and easily accessible documents within SharePoint.

You’ll be interested to participate in future activities to transition to Autodesk Cloud.

Overall you’ll have great document management skills, be a problem solver and enjoy helping our project teams be better at accessing and utilising our data.

What You'll Do

You will create and maintain a SharePoint site for every project. For example, if we’re planning something like a new substation, internal colleagues from lands, project management, legal and procurement teams, as well as external colleagues such as contractors and consultants, need a central place to share and submit documents.

You’ll control access and security to SharePoint. Certain folders, files and cost information will have restricted access; you will ensure the right people see the right things.

You will make sure all documents are the latest versions and that all information is in the correct place.

Additionally you’ll edit existing documents for accuracy (you won’t write new ones). For example with a scoping document, ensuring all appendices are named and added in the right places, contents tables are indexed, page numbers are correct and documents are easy to access.

Producing a report to see which documents are missing, you’ll work with the Project Manager to ensure we have all the relevant documentation ready.

Checking external Document Controllers are working to our standards you’ll check if colleagues have set things up properly and are following agreed procedures. You’ll ask questions such as, do their design drawings for needs like safety assessments, meet our standards?

Where required you will provide assistance to Project Managers to download drawings, check they’ve been submitted to the right people and that they have been stored correctly

A competitive starting salary between £35,000 – £39,000 dependent on capability.
