What will your typical day look like?

As the facilities specialist you will be responsible for the physical space of the Vancouver office. You will work alongside other workplace services professionals to ensure our office delivers to the needs of our staff and our clients. A day could include landlord relations, vendor management, investigating a security concern, creating and rolling out new operations procedures, or anything else that may come up!

Key Responsibilities:

Management, Asset & Vendor Services

• Reactive maintenance – assess/address, report, schedule, coordinate, remit.

• Preventative maintenance – coordinates scheduling, invoice submission & payment, escalate & coordinate additional services/parts as recommended.

• Source new vendors & materials based on issue.

• Budget – input/track maintenance expenses & FY calendar.

• Major incidents & project-based R&M; manage schedules, coordination of scope, base building (loading bay, elevators, security).

• Asset management – warranty validation, submission requests, coordination of receiving new/disposal of old.

• Coordinating & providing access to restricted areas.

• Build & maintain after care provider repository and contacts.

• Expense processing – EFT, AP Approved Invoices, credit card payments and payments reconciliation.

• Weekly events review meeting participation (represent operations to avoid maintenance/event conflicts).

• Monthly connects with internal vendors and landlord.

• Coordinating bi-annual extraction cleaning; furniture, carpet & hard surface flooring – quotes, coordinate scheduling and building logistics for after-hours/weekend work.

About the team

The members of the Workplace Services team possess a practical body of knowledge that is applied in the delivery of office support. It includes jobs in the areas of concierge/reception, mailroom, print services, health and safety, and facilities management.

The Workplace Services Professionals (WSPs) are at the centre of our clients and guests’ experience – setting the tone from beginning to end. Working closely with a team of colleagues and supported by the WSP manager, WSPs demonstrate a keen knowledge of the firm, anticipate the needs of our guests and talent, go the extra mile when tending to both internal and external parties, react and problem solve efficiently and demonstrate attentive listening skills.

This is a full-time, on-site position located in our flagship west coast office in downtown Vancouver.

You are someone who is:

• Strong in project management and planning skills. Flexible with hours to support the needs of the business.

• Experienced in facilities management and maintenance and repairs.

• Ability to lift 30 pound.

• Comfortable working onsite in an office environment.

• 5+ years experience.

• Possess or are willing to obtain FMP or other facilities management designation.

• Continuous improvement attitude: ability to suggest and implement best practices, strong and clear communication skills.

Total Rewards

The salary range for this position is $58,000 - $96,000, and individuals may be eligible to participate in our bonus program.
