Position Summary Information

Position Summary

The TRIO SSS Administrative Assistant is responsible for the coordination and support of the general, day-to-day administrative, operational and clerical tasks related to the program. This positing will be supporting the TRIO SSS program to identify, select, enroll, retain, serve, and assist low-income individuals, first-generation college students and individuals with disabilities in order to accommodate program needs and meet the grant deliverables of Student Support Services. This position is responsible for engaging with TRIO students, day to day office operations and management, data and budget tracking, website and social media updates, general administration to support all the office services.

TRIO Student Support Services ( SSS ) is a federally funded grant program dedicated to helping 124 students each year. The grant serves low-income, first-generation students, and individuals with disabilities according to ratios and guidelines set by the federal government. The program provides opportunities for academic development, assists students with basic college requirements, and serves to motivate students toward the successful completion of their postsecondary education. The goal of TRIO SSS is to increase the college retention and graduation rates of its participants, facilitate their transfer from two-year to four-year colleges and foster an institutional climate supportive of their successes.

Major Responsibilities

• Provides outreach to prospective and current TRIO students to set appointments and collect information;

• Manages the calendar of the TRIO program events;

• Manages, updates and verifies Student Access database (designed by outside consultant, according to Department of Education guidelines);

• Requests, organizes and reviews reports from Financial Aid, Career Services, Tutoring Services, Learning Services and Office of Advancement;

• Prepares, collects, organizes and enters data for Department of Education required records and reports;

• Sorts, files, and tabulates various documents and records; establishes and prepares new files or categories within established filing systems; enters and retrieves data using electronic files; removes and logs materials; maintains status and file reports;

• Performs basic word processing or typing tasks such as aligning text, setting margins and tables, saving or filing, spell checking, and printing to produce memos and letters;

• Perform electronic mail tasks;

• Cross checks and tabulates standard information; checks incoming forms and documents for required information; extracts and compiles statistical data from source documents;

• Orders, receives, and maintains office inventory following established procedures;

• Performs other duties as required.

• Associate Degree required

• Three (3) to Five (5) years of experience in an administrative role required.

PREFERRED QUALIFICATION

• Bachelor’s degree in related field preferred.

• Two years of full-time clerical experience

• Experience in college student support services office

Minimum Skills/Abilities

• Microsoft Office Excel Microsoft Office Outlook Microsoft Office Word

• Having worked with or having a personal background similar to those of TRIO SSS -eligible students (1st generation to college, economic disadvantage, disability)
