Position Summary

The Family Engagement Assistant is responsible for coordinating family engagement activities within Young Scholars their families and the community. They are responsible for working with the Young Scholars students in the high school and middle schools setting. The Assistant is responsible for the operations of this department and ensures efficient execution of family engagement procedures and processes central to the Young Scholars Liberty Partnerships Program. They also provide support to the department director and employees, assists in daily office needs and database management, and assist with logistics, catering and other event specific duties. This position is also responsible for organizing the record keeping.

Major Responsibilities

• Employee would work with students within the UCSD schools (Highschool and Middle school)

• Would perform work in the Utica City Community and build relationships in the community

• Would engage and develop community events

• Employee would help develop and participate in after school programs in the community

• Would help facilitate meetings with Young Scholar families

• Would provide community and school resources for Young Scholar families

• Would provide a weekly calendar of Young Scholar events to the families

• Would provide a Wellness Check-in to the Young Scholar families

• Would use the Remind App for communication for the Young Scholar families

• Works some weekends and evenings for YSLPP special events

• Schedules meetings, reserves rooms, food arrangements for events

• Responsible for working with other team members to achieve successful results on all established individual and departmental goals.

• Assist in recruitment of events

• May perform other related duties as assigned

Driving Responsibilities

This position may occasionally involve travel using a College-owned or College-rented vehicle. Must maintain a clean driving record as defined by College insurance carrier guidelines. Motor vehicle record will be monitored regularly using NYS License Event Notification Service or License Monitor, Inc. for out of state licenses. Will be required to attend van training annually.

Education & Experience Qualifications

  • High School Diploma or equivalent required, Associate degree preferred.

  • Prior experience including proofreading, travel logistics, appointment scheduling, event planning, and coordination required.

  • Word, Excel and database management preferred.

    Minimum Skills/Abilities

  • Strong organizational skills and a high regard for detail are required.

  • Excellent verbal, written, and non-verbal communication skills

  • Possession of excellent communication and interpersonal skills

  • Strong Computer Skills – Microsoft Office Suite and Photoshop

  • Interest in the use and application of upcoming technology, new software, etc.

  • A strong commitment to diversity and work continually to enhance diversity of our students, faculty, and staff

  • Preferred: Possession of a valid U.S. driver’s license that will meet insurance company rules and regulations for driving underwriting criteria

  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate a must.
