The opportunity

We have an exciting full-time permanent opportunity for a Procurement Specialist in our Risk and Resilience department. The Procurement Specialist is responsible for supporting all procurement processes including assisting and supporting to advance the RFx pipeline, updating and maintaining key procurement documents.

Responsibilities

General

  • Provide ongoing general procurement support and administration for the Procurement Team, and support for managers procuring supplies and services on behalf of MODC.

  • Support with ensuring procurement policies, procedures, key documents remain current.

  • Assist in the handling of procurement inquiries procurement method, steps in competitive process, including key vendors, preferred vendor program, single source enquiries and requests, general Q&A, etc.

  • Contribute to the development, implementation and continuous improvement of MODC procurement framework, processes, and tools.

  • Ensure high priority is given to fundamental principal of customer centric service with a high level of responsiveness to all inquiries, internal and external.

  • Maintain strict confidentiality while meeting needs throughout the RFP process.

Documentation

  • Assist with drafting procurement documents including supporting the Senior Manager in preparing RFx documents aligned with Broader Sector Directive.

  • Manage and file documentation pertaining to all RFx initiatives including Non-Disclosure Agreements (NDAs), proposals, evaluations, and other procurement documentation.

  • Assist with preparing procurement reports including vendor data, spend analysis and other ad hoc reporting requests.

  • Administer procurement policies, procedures, and handbooks, templates and tools ensuring key documents remain current.

Risk & Resilience Team

Contribute to a strong Risk & Resilience Team culture, fostering inclusive spaces, positive learning, enthusiasm for Team-led projects and capacity building initiatives.

Qualifications and experience

  • 3 years minimum experience as a procurement professional, or equivalent experience

  • Post-Secondary Degree or Diploma in Business Administration, Supply Chain or relevant discipline

  • Broader Public Sector (BPS) experience is a strong asset

  • Knowledgeable in procurement standards and best practices

  • Experience in RFx development and procurement processes

  • Possess a high level of attention to detail and accuracy

  • Advanced multi-tasking, time management and organizational skills

  • Strong ability to communicate effectively both verbally and in writing

  • Excellent command of various computer applications, including procurement systems, proficiency with MS Office (Excel, Word, Outlook, PowerPoint, SharePoint, Teams)

  • Exceptional customer centric approach is required
