What Is the Opportunity?

Assists in the coordination of corporate facilities and administration activities, ensuring functional areas' needs for space and equipment are met. Assists in the negotiation of commercial leases. Assists with revisions and updates for administration policies and procedures. Coordinates facilities activities including office alteration, leasing, landlord and tenant relations, and general administration including furniture and equipment inventory and control, and leased automobile fleet program. Communicates and promotes a safety culture by providing advice, guidance and training. Works with minimal supervision. This role does not manage others.

What Will You Do?

  • Assists the Manager, Facilities and Administration in the coordination of facilities and administration activities with a focus on cost management to ensure functional areas’ needs for space and equipment are met.

  • Prepares & supports Ergonomic assessments (including reviews, equipment ordering and installation)

  • Analyzes trends in Health & Safety

  • Assists in the assessment of space requirements and negotiation of building leases to minimize occupancy costs and achieve consistency in terms and conditions.

  • Develops and implements operating policies and procedures and communicates standards to ensure consistency.

  • Participates in special projects, and performs other duties as requested, to achieve functional and corporate objectives.

  • Provide backup support to other team members (mailroom and reception desk)

  • Perform other duties as assigned.

What is a Must Have?

  • University diploma in a business related field.

  • 2 years of facilities and leasing experience in a multi-location environment; coordinating office reconstruction, reconfiguration and physical moves.

  • Knowledge of Occupational Health and Safety Acts across Canada

  • 1 - 2 years of relevant Health & Safety experience with ergonomic knowledge

  • Experience participating on a JHSC

  • Ability to work in both Oakville and Toronto office locations based on business needs, must be willing and able to travel within of Canada if required.

  • Operate with integrity and professionalism, maintaining high levels of confidentiality.

  • Familiar with commercial leasing, real estate law, property taxes, office planning/design, financial analysis, project management, and negotiation techniques.
