What You’ll Be Doing

The Capital Markets arm of CIBC provides corporate, government and institutional clients with innovative solutions to help them raise capital, and grow and invest actively throughout North America and key financial centres around the world. To deliver on its vision to be our clients’ preferred capital markets banking partner across multiple products and services, both in Canada and where our core competencies can be exported. The Capital Markets mission is to bring Canadian Capital Markets products to Canada and the rest of the world, and also bring the world to Canada.

As an Executive Assistant you will provide day-to-day office support to one or more senior Executives and their teams within the Global Corporate Banking business in Capital Markets. The role is accountable for providing administrative and operational support and ensuring timely and effective delivery of assigned projects and tasks, contributing to the effective and efficient operation of the business group.

At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 1-4 days per week on-site, while other days will be remote.

How You’ll Succeed

  • Professional Support: Screen requests and identify issues to determine priority, screening visitors and phone calls. Identify potential problems and shifting priorities in order to adjust the Executives’ schedule if necessary. Plan, organize and follow-up on all details relative to meetings, receptions and conferences.

  • Calendar Management and Travel Arrangement: Maintain an overall coordinative role for the management team of the Executives by managing calendars, meetings, vacations, etc. Coordinate meetings and appearances on behalf of the Executives and the teams that are held locally, nationally, and internationally (This would include making all travel arrangements and monitoring them to ensure maximum efficiency and accuracy). Identifying potential problems and shifting priorities in order to adjust their schedule.

  • Administrative Duties : Provide ongoing administrative support such as; briefing Executives before appointments or meetings with appropriate background information from computer information systems and/or files. Develop administration procedures, and processes to respond to the operating style of the Executives. Upload documents to iPad if required. Maintain administrative procedures and processes for the Executive and team; for example, preparing expense accounts and ensuring they are kept in good order and maintaining a comprehensive diary (usually computerized). Prepare on-boarding and off-boarding requirements of new staff within the group. Provide back-up coverage to other Executive Assistants within the team.

  • Document Support: Assist in consolidating, preparing and editing presentations, reports and other documents required by the Executives and Committees. Ability to work proficiently in Excel, Power Point and other Microsoft Office applications in order to build clean and well-organized slides and reports consistent with the corporate look and feel.

Who You Are

  • You know CIBC. You have good working knowledge of CIBC's business activities, organization structure, and executive personnel.

  • You’re an experienced administrative professional. You have a minimum of 3 years’ experience as an Executive Assistant in a highly professional, confidential and fast-paced environment .

  • You’re a strong communicator. You have excellent verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion.

  • You’re digitally proficient. You have strong command of MS Office suite including Word, Excel, PowerPoint, Outlook.

  • Detail Oriented . You understand that success is in the details. You notice things that others don't. Your critical thinking skills help to inform your decision making.

  • You are comfortable in a fast-paced environment. You have excellent organizational and time management skills and the ability to multitask. You are able to deal with last minute and urgent requests and prioritize accordingly using sound judgement.

  • You are proactive. You are a fast independent learner who shows high initiative to complete tasks and identify issues with minimum guidance.
