Reporting to the SVP, Controller & Corporate Finance, the Executive Assistant (EA) will be required to provide advanced, highly diversified, confidential and discretionary secretarial and administrative assistance and coordination to the Controller and Corporate Finance teams. The successful candidate must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality and flexibility are required. Positive interactions with key stakeholders such as the Finance Executive team and the Office of the President is a critical requirement of this role. The individual must be a proactive performer that demonstrates excellent initiative, teamwork and judgment on a regular basis. The ability to deal with ambiguity and handle changing and competing priorities is a must.
What you’ll be doing:
Provides support to SVP, VPs and Directors within the group
Provides administrative support for major deliverables, including Audit & Risk Committee materials preparation
Prioritizes and manages day to day activities, meetings, guests, calendaring, emails, commitments, appointments etc., to facilitate the most efficient use of the leader's time
Prepares and composes correspondence, memos, reports and presentations
Maintains departmental daily operational workflow, including coordinating responses to both internal and external inquiries/requests
Coordinates and manages special/ad-hoc projects and events, with attention to details and the ability to prioritize and multitask
Administers people related transactions in HR self-serve on behalf of the leaders, including timesheet administration
Administer miscellaneous department purchases and orders including office supplies, memberships and publications
Provides administrative and coordination assistance to the leaders' teams as necessary
Leads by example to work effectively and collaboratively with the other executive and administrative assistants in the organization
What you have:
Seasoned professional with a minimum of 5+ year of previous experience supporting senior leaders and executives
Excellent interpersonal and communication skills, both verbal and written
Proven ability to take initiative and work effectively under pressure in a fast-paced environment
Demonstrated and proven advanced skills in managing calendars in Outlook as well as experience in office workflow and productivity tools such as Office365 (Word, Excel, PowerPoint), Oracle and Sharepoint
Technologically savvy and proficient with the use of smartphones, tablets, laptops and other tools
Willing to work flexible hours to meet challenging and evolving deadlines and priorities
Strong organizational skills with a proven ability to manage competing priorities
Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
High level of attention to detail, accuracy, and follow-up is required
Completion of post-secondary education would be an asset
