The opportunity

We have an exciting full-time permanent opportunity for a Coordinator, Risk and Resilience that would be responsible for providing administrative, coordination and professional support to the Senior Director and Risk & Resilience Program. As the ideal candidate you will have exceptional administrative skills and professionalism to be able to represent the Senior Director to our internal and external stakeholders.

Responsibilities

Risk & Resilience Program Support

  • Administer insurance certificate requests

  • Incident reporting data entry and support trends reporting

  • Maintain key insurance and procurement schedules and files

  • Schedule supplier presentations, RFP key dates scheduling, etc.

  • Maintain contract analysis tracking

  • Support Risk & Resilience reporting activity, maintain Risk & Resilience ‘hub’ on SharePoint

  • Establish, organize and maintain filing systems, document management, and databases

Senior Director Support

  • Provide senior level administrative support with a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment.

  • Manage correspondence, requests for information with high responsiveness, level of confidentiality; raise issues where appropriate.

  • Draft correspondence, create/complete forms and other administrative documents, expense claims preparation, invoice submission, ERP and HR systems data entry, ensuring accuracy, completeness and compliance with organizational policies/procedures.

  • Arrange team meetings including preparing meeting agendas, materials, taking and distributing summary notes with agreed action items; organizing travel/meal arrangements and other administrative support.

  • Coordinate, maintain calendar(s) as needed.

  • Maintain relationships with employees, stakeholders, with sensitivity and tact

  • Perform special project assignments as directed.

Risk & Resilience Team

  • Contribute to a strong Risk & Resilience Team culture, helps foster inclusive spaces, supports positive learning, generates enthusiasm for Team-led projects and capacity building initiatives.

Qualifications and experience

  • Minimum 5 years senior administrative experience supporting senior directors or

  • executives, preferably in a non-profit organization.

  • Degree or college diploma in a relevant field, or equivalent combination of education and experience.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Advanced oral and written communications.

  • Excellent interpersonal skills with cross-culturally sensitivity and ability to build relationships with stakeholders including staff, managers, senior management.

  • Ability to anticipate and respond to needs while using sound judgement and decision-making skills.

  • Proficiency with Microsoft 365, including MS Outlook, Word, Excel, PowerPoint, Teams, Forms and SharePoint; proficiency with virtual meeting platforms including Teams, Zoom.
