The Executive Assistant (EA) will provide executive administrative services and support to the Paid Leave Director and other agency executive staff. A sharp operational mind with an eye for detail, the EA will have the ability to work with a variety of internal and external stakeholders. Excellent writing skills and the ability to balance competing strategic priorities are a must, as are strong people skills and thoughtful administrative abilities. The EA will have a front row seat to the operations of the Paid Leave program and will understand how to get things done inside of state government.

The incumbent will communicate with agency and program staff, other state agencies and legislative staff, external stakeholders, and the general public. Responsibilities include scheduling meetings, making travel arrangements, tracking internal and external events and public meetings to accomplish the division’s priorities, preparing reports, supporting purchasing and budget tracking, and maintaining organizational awareness to foster cross-functional communication and involvement.

This position will deal with confidential and sensitive information and the incumbent must possess a high level of confidentiality, professionalism, and time management skills.

About Paid Leave

Paid Leave is a new program launching in 2026. The program will provide partial wage replacement to Minnesota workers who are out of work due to a qualifying condition, such as a serious health condition that prevents a person from working or when someone needs time to care for a family member or a new child.

We are building a program that will be easy for every Minnesotan to use. We are engaging the people who depend on us—workers, employers, caregivers, and insurers—to learn from them and build the program around what they need. We are using modern service delivery and product practices to deliver the program. The Paid Leave team has high standards and an unrelenting commitment to serving Minnesotans. It is a start-up environment without legacy systems or preconceived ways of working. Our aim is to deliver a service that delights Minnesotans.

Minimum Qualifications

To receive credit for your education and experience, your resume should clearly describe how you meet each minimum and/or preferred qualification listed, including dates of employment.

Work experience as an administrative assistant, executive assistant, or other closely related experience as determined by the agency.

Applicants that meet the above minimum qualification will be further evaluated on the following:

  • Experience prioritizing information and meetings, including managing multiple stakeholders.

  • Ability to respond effectively to sensitive inquires and/or complaints and communicate in a variety of formats to gather and relay information with tact and diplomacy.

  • Communication skills including the ability to speak, read, and write fluently in English along with the ability to identify and correct grammar and spelling errors in professional documents.

  • Knowledge of computer software applications, such as Microsoft Office Suite, including:

  • Word processing software, such as Microsoft Word, sufficient to create letters, memos, and correspondence in appropriate business style.

  • Spreadsheet software, such as Microsoft Excel, sufficient to draft, edit documents, and produce reports.

  • Presentation software, such as Microsoft PowerPoint, sufficient to draft and edit presentation-quality materials.

  • Experience coordinating workflow and evaluating administrative decision options to handle a range of duties and assignments.

  • Experience with managing logistics, events, purchasing, and/or budgeting for an executive or department.

Preferred Qualifications

  • At least one (1) year of work experience as an administrative assistant, executive assistant, or other closely related experience as determined by the agency.

  • Experience with State of Minnesota systems, policies/rules, regulations, and procedures.

  • Knowledge or experience with State accounting procedures: budget request processes, expense reimbursement, budget transfer, purchasing requests, etc.

  • Experience in operations management such as designing, planning and completing complex assignments involving collaboration with others.

  • Ability to work independently to take initiative, anticipate needs, and assist where needed.

  • Experience authoring corporate or agency-wide communications or public documents.
