We are currently seeking an Administrative Assistant to join our Sales team in St Paul, MN. As an Administrative Assistant, you will play a key role in ensuring the smooth and efficient operations of our office. This role is designated on-site.

Responsibilities include the following:

  • Answers and directs calls in courteous and timely manner. Responsible for answering technical support calls for customers, submitting tickets with details of the request and/or directing them to the local service department

  • Assist all local leaders with any projects or requests ranging from team meetings and booking travel, expenses

  • Assists in Onboarding new Associates and I-9 Processing

  • Provides support for marketing efforts for sales team and preparation for customer events

  • Coordinates mail and outgoing packages, orders office and event supplies

  • Creates PowerPoint/flyers for community and employee events. Tracks participation, RSVP, and coordinates company events

  • Supports the Area General Manager with employee engagement activities like skip level roundtables, birthday celebrations etc

  • Responsible for producing a monthly newsletter for associates

  • Point of contact to coordinate training in our training room for visitors and associates

  • Liaise with Facilities coordinator to ensure building is safe and secure

  • Maintains communication boards throughout the building

  • Negotiates catering and food vendors for company meetings and training

  • Manages office vendors (cleaning, pest, etc) as needed and tracks and processes payments/contracts

  • Responsible for troubleshooting and minor changes to phone system

  • Purchase and restock supplies for building, company, and customer events

  • Sets up and breaks down after meeting events

  • Sorts and distributes the daily mail to be routed to departments and associates

  • Trains regional backups for phone support and ensure coverage is maintained at time of absence

  • Coordinator for annual health screening event and acts as a wellness champion

  • Assist Regional Finance Leader with accounts receivables and checks received

  • Use procurement systems- creating purchase orders for vendors, making sure vendors bill correctly, ability to lookup invoices

Competencies / Education/Experience:

  • High School Diploma or equivalent experience required

  • Proven experience as an Administrative Assistant or similar role in a corporate environment

  • Ability to interact with all levels of management, staff, and outside contacts in a courteous and

  • professional manner

  • High level of proficiency with Microsoft applications including Excel, Word, PowerPoint

  • Strong organization skills and ability to work independently, prioritize work and handle

  • simultaneous assignments with success and accuracy

  • Demonstrate the highest level of professionalism as well as confidence, confidentially, integrity

  • and motivation

  • Flexibility and strong time management skill set

  • Ability to communicate clearly both written and verbally
