Direct Care and Treatment (DCT) is seeking an individual to join our DCT General Counsel’s Office (GCO) for an exciting and rewarding opportunity as our Executive Assistant! This position exists to provide accurate and confidential administrative support and coordination to the DCT GCO office and serves as a liaison to divisional leadership under their supervision, as well as DCT Executive Leadership and Management, Mental Health and Substance Abuse Treatment Services (MHSATS), Forensic Services (FS), Community Based Services (CBS), and Minnesota Sex Offender Program (MSOP). This position also exists as a liaison to the DCT Executive Board, Office of the Secretary of State, the Governor’s office, Minnesota Attorney General’s Office, Minnesota Management and Budget, Department of Administration, and other public and private entities and stakeholders.

Primary Responsibilities:

  • Manage the daily operations, communications, transactions, and schedules for the DCT General Counsel.

  • Provide an array of administrative services and support for the DCT GCO as directed.

  • Create and maintain reports upon request of DCT GCO.

  • Coordinate logistics for, document, and serve as administrative liaison for high visibility work groups involving DCT GCO, Executive Team, and other staff as requested.

  • Manage administrative processes and workflows associated with reports and legislation prepared by and/or needing the clearance of the Legislative team.

  • Provide administrative support and coordinate meetings and events, including outside and large-venue events.

Minimum Qualifications

  • Accounting/Budgeting/Expense skills sufficient to relating coordination of business expenses.

  • Customer Services skills sufficient to providing clerical support for leaders of an organization(s), including calendar management, meeting organization, and creating and facilitation business communication.

  • Database Management skills sufficient to relating to the coordination of business correspondence at an organizational level.

  • English Language skills sufficient to having thorough knowledge of the rules of standard English grammar and usage.

  • Word processing skills sufficient to such as creating, editing, and managing strategic documents at a leadership level.

Preferred Qualifications

  • An associate degree or higher in administrative services, business, or related field.

  • Broad-based understanding of how state agencies function in order to provide fully informed support and administrative functions.

  • Ability to quickly learn DHS and GCO administrative procedures, processes, and forms used for daily operations and business transactions; organization structure; and communications protocol.

  • Experience supporting executive leadership, including strategic time management.

  • Experience identifying problems or areas of potential change, and developing proposals and recommendations based on independent analysis.
