As the Division Operations Support Specialist, you will support the Financial Operations Division’s (FOD’s) operational needs to ensure operational efficiency and coordination. The position assists the division’s Business Continuity Recovery Director and Planner to ensure the division is prepared to respond to a work disruption. It also serves as the division’s Records Retention Coordinator to ensure the division complies with agencywide records retention policies. This position is responsible for reviewing and approving access to FOD-owned applications and periodically auditing system access to prevent unauthorized access to data. Finally, this position provides general operational support and backs up the Finance System Support Specialist and the Administrative Specialist positions.

Responsibilities include but may not be limited to:

  • Assist FOD’s Business Continuity Recovery Director and Planner to ensure the division is prepared to respond to a work disruption.

  • Serve as the records retention coordinator for the Financial Operations Division to ensure the division complies with agencywide records retention policies.

  • Provide general operational support to the division to ensure operational efficiency, coordination, inclusion, and engagement.

  • Serve as FOD's Firewall Steward to ensure appropriate access is granted to select FOD applications and provide backup support for the Finance System Support Specialist.

  • Provide backup support for FOD's Administrative Specialist.

Minimum Qualifications

Two (2) years advanced administrative support, paraprofessional, or technical experience in an administrative-type role; OR Associate’s degree in Project Management, Business Continuity, or Risk Management or related field and one (1) year advanced administrative support, paraprofessional, or technical experience in an administrative-type role; OR Bachelor’s degree in Project Management, Business Continuity, or Risk Management or a related field.

Experience must include:

  • Strong written and verbal communication skills sufficient to develop, write, and convey clear, easy to understand instructions and procedures.

  • Ability to manage information, contacts, multiple assignments and timelines, and competing deadlines.

  • Customer service skills sufficient to be able to quickly understand the customer’s problem and find a solution that meets their needs.

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications

  • Technical knowledge of IT application management sufficient to understand roles, identify conflicts, and audit system access.

  • Knowledge of records retention best practices.

  • Knowledge of business continuity and recovery best practices.

  • Proficiency in information storage and collaboration applications and tools such as Microsoft OneDrive, OneNote, SharePoint, and Teams.

  • Ability to work within teams that include individuals of varying levels of authority both inside and outside the department.

  • Variety of experiences working effectively with others from different backgrounds and cultures.
