Come join our small office team as we work with the community and many partners to plan and improve the Minnesota Capital area. The Capitol Area Architectural and Planning Board is hiring for a part-time Office and Communications Assistant (28 hours per week/benefits eligible position). This is a highly responsible professional and administrative position that supports the CAAP Board and provides exceptional customer service and communications support across multiple web-based and social media platforms. Primary duties will include the operation and management of the office, communication on agency activities with public and community partners across multiple platforms (oral, written, visual and social media), Board meeting support, and assistance to the CAAPB Executive Secretary and Principal Planner. Position duties are suited to a mix of in-office and telework. Minimum Qualifications

  • Data entry procedures and systems, such as Microsoft Office or similar data entry systems

  • Prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors

  • Knowledge of building and uploading original content, documents, and/or webpages to websites.

  • Specialized terminology related to accounting, bookkeeping, accounts receivable, and purchasing sufficient to review transactions, draft invoices, run reports, and maintain accurate and complete financial records

  • Customer service skills sufficient to provide prompt, courteous and accurate information to a variety of customers over the phone, in person and via email.

Preferred Qualifications

  • The ability to facilitate cooperation and work effectively as a team member who is efficient, flexible, and positive.

  • Technology skills sufficient to create simple maps and illustrative planning graphics, tables and diagrams, and edit images and photographs for use in reports and informational materials.

  • Excellent interpersonal skills necessary to engage in positive problem solving, openly share ideas, and treat others with courtesy and empathy.

  • Demonstrated ability to research a variety of topics and summarize information in an organized written format.

  • Demonstrated ability to use independent judgement, prioritize work assignments, and manage them effectively.

  • Experience working in an office setting sufficient to conduct basic office management.

  • Ability to learn new software quickly.

Physical Requirements

Work performed is primarily sedentary in nature, working at a computer, with some moving throughout the building as necessary for job duties. Requires occasional moving or transporting of items such as file folders, laptops, and light weight boxes.
