The Office and Administrative Support Specialist (OAS), Senior position serves as the unit lead for the administrative support unit of the Division Support team within Disability Services Division (DSD). The OAS Sr. is responsible for:

  • Developing and managing administrative procedures, documents, and records associated with DSD

  • Providing DSD staff with information, assistance and services

  • Represent DSD on cross-division and administration teams or special projects

Other responsibilities include:

  • Lead the administrative support of DSD, overseeing daily operations to ensure efficient workflow and high productivity. This role involves developing and managing administrative procedures, ensuring they are thoroughly documented and regularly updated to reflect best practices

  • Oversee the procurement of office supplies, equipment, and services necessary for the efficient operation of the division. Ensuring compliance with state and federal procurement policies and procedures, obtaining the best value for the division

  • Represent the DSD on cross-division and administration teams and special projects. Leverage a wide range of skills including information dissemination, analysis, strategic planning, collaboration with partners, and diverse communication methods to achieve assignment objectives

Minimum Qualifications

  • Accounting/budgeting/expense skills relating to coding and processing invoices, managing budgets, and collaborating with financial operations teams to resolve issues

  • Communication skills, verbal and written, with the ability to interact effectively with diverse groups

  • Customer service skills serving as a primary point of contact for clients or the public, addressing inquiries and issues professionally and courteously, and providing high-quality customer service

  • Data entry performance relating to completing data entry tasks with accuracy and efficiently

  • Database, documents and records management skills in database design and reporting, ensuring accurate and efficient data management

  • Typing/keyboarding relating to proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams)

Preferred Qualifications

  • Understand processes and documents associated with home and community-based services; some experience with Medicaid Management Information System (MMIS)

  • In-depth understanding of federal and state policies, regulations, and laws affecting disability services decision-making processes, including DHS policies, laws, and rules

  • Demonstrate the ability to perform tasks responsibly and independently with minimal supervision, ensuring high-quality outcomes

  • Excel in planning and organizing work to meet deadlines. Establish clear work goals, expectations, and priorities. Anticipate potential problems and develop contingency plans in a dynamic and fast-paced environment

  • Variety of experiences working effectively with others from different backgrounds and/or culture
