The Office is currently seeking an Administrative Assistant / ReceptionistAdministrative Assistant / Receptionist for the Attorney General’s state capitol office. This position will provide support for our capitol office and to our executive leadership team. A high level of customer service and confidentiality is required in performing the duties in this position, as are strong communication, knowledge of technology and business systems, prioritization, and organizational skills.

A successful candidate in this position will be able to:

  • Receive the public by phone and in person; assist with answers to basic or routine questions; direct them to the appropriate resources;

  • Providing administrative support to the Attorney General, Chief Deputy Attorney General, Chief of Staff, Deputy Chief of Staff, and other executive leadership;

  • Process and route incoming and outgoing mail and other special deliveries distinguishing between legal and general correspondence/documents;

  • Photocopy and scan documents ensuring exact duplication of originals;

  • Create and maintain files;

  • Draft and edit written material for accuracy, format, and arrangement of material;

  • Research and otherwise collaborate resources for special projects; and

  • Assist in the coordination and support of onsite meetings and events.

This position is in-person daily at the Minnesota Capitol Building.

Minimum Qualifications

  • Two or more years of experience providing administrative support to multiple staff

  • A certificate, associate or bachelor's degree in legal administrative assistant, business administration, or closely related field may substitute for one (1) year of experience

  • Current Notary Public or the ability to obtain commission within 30 days of hire

  • Advanced skill in:

  • Written, oral, and interpersonal communication

  • Software applications such as Microsoft Word, Access, Excel, and Outlook email/calendar/scheduling

  • Organization, detail, troubleshooting, and follow-through in order to manage multiple projects and demands simultaneously in a fast-paced, detail-oriented work environment

  • Ability to:

  • Provide excellent customer service in a manner which shows respect, sensitivity, tact, and professionalism

  • Maintain professionalism and composure when dealing with multiple visitors and incoming phone calls

  • Collaborate and interact effectively and professionally with others

  • Work independently and unsupervised for multiple days

  • Develop strong working relationships with co-workers, office personnel, government officials, legal organizations, and the general-public

  • Use or readily learn to use database software to access, enter, edit/update, format, and print information in databases

  • Maintain confidentiality and handle sensitive information discreetly

  • Knowledge of:

  • The Office of the Minnesota Attorney General, including its services and responsibilities to the public

Preferred Qualifications

  • Knowledge of the Office of the Minnesota Attorney General’s programs, policies and procedures

  • Knowledge of legal documents sufficient to identify and route when received

  • Previous experience supporting executive leadership and/or in a law office setting

Physical Requirements

  • Ability to move and transport such articles as files, laptop computer and resource materials weighing up to 20 pounds
