Announcement is hereby made for a full-time, 12-month College Assistant Director - Registrar position beginning immediately. Suffolk County Community College is an open admissions institution committed to serving a diverse student population in a variety of degree and career programs.

This is a Guild (Unit 4) position, and, as such, the salary and benefits for this position are determined according to the salary and benefits plan for the Guild of Administrative Officers.

JOB DESCRIPTION

Under the supervision of the College Registrar, the Assistant Director will assist with the development, planning and coordination of services provided by the College Registrar Office. This position represents the College Registrar in their absence; supervises daily operations; maintains extensive contact with students, faculty and staff, and responds to inquiries related to the interpretation of academic policies and procedures (i.e., academic warning, student withdrawals, etc.). The Assistant Director must also exercise independent judgment in the supervision and administration of records management; direct unit workflow and manage registration procedures for the three campus registrar offices; communicate effectively both orally and in writing; and establish and maintain effective and collegial work relationships by exhibiting integrity, tact and sound judgment. Major Responsibilities and Duties :

Support the operations of the College Registrar's Office including registration, records management, FERPA, and the operation , maintenance and continuous improvement of the student information system; Assist the College Registrar in setting policy and procedures for campus registrar offices and the central records office, and perform administrative duties to ensure the efficient operation of these offices; Analyze and review data/reports as needed to support decisions and expedite processes; Ensure consistent application of policies as established by the Registrar, and recommend changes to improve services; Coordinate digital communications related to student outreach; Work with Information Technology Systems on expansion and enhancements to existing technology that improve registrar office workflows; Use the College’s student information system (Banner) to run term jobs that support semester activities; Respond to students, faculty, and external inquiries regarding student records, and ensure that information requested is released in accordance with official policy; Manage official transcript processing and degree certification; Oversee the processing of subpoenas and inquiries, according to established College policies; Manage the College’s document retention and destruction procedures, as well as the protection of personally identifiable information; Review requests for student data and Banner Student access; Plan and supervise the work activities of assigned staff, and conduct and evaluate the training of assigned staff members; Represent the department in meetings with College stakeholders; Performs other duties as assigned. MINIMUM QUALIFICATIONS

Bachelor’s degree Five years of experience in a Registrar setting, with two years as a skilled functional analyst (super-user) in a student information system.

PREFERRED QUALIFICATIONS

Master’s Degree Demonstrated ability as a functional analyst (super-user) using Banner, Degree Works and data analytics. Experience with Student Information System implementation, documentation and training.
