Turner Construction Company Administrative Assistant (Northern California) in San Francisco, California

Position Description: Provides administrative support to a

department, business unit or project.

Reports To: Project Manager

Essential Duties & Responsibilities * :

  • Act as liaison between supervisor and project team (ie. Departments,external contacts, subcontractors, clients, design team etc.)

  • Oversee/process day-to-day administrative items; mail, overnight mail, packages, expenses reports, checks, etc.

  • Compose and/or edit/distribute letters, memos, reports and other departmentalcorrespondence on time. Keep track of when recurrent reports are due andmeetings are scheduled, including maintaining lists of recipients and/orparticipants.

  • Assist with overall management and maintenance of office, conferencerooms, work stations and kitchen.

  • Process orders and reports as required and respond to requests for information.

  • Set up and maintainfiles, hard and electronic.

  • Oversee the budget and maintenanceof all office and kitchen supplies and equipment

  • Oversee new employee set up and or visitor set up – assist withworkstation and supplies

  • Oversee, budget and assistwith event planning – occasional luncheons, client and or staff meetings and occasionaloutings, community service / donations, lunch orders as required

  • Assist with expense reports – complete and submit expense reportsthrough Concur as needed.

  • Oversee and manage shared project conference room calendar’s viagoogle, communicate with Client and Design Team to ensure there is nodiscrepancy with Google Calendar.

  • Assist with missingcertified payroll and or documents requested by project team includinginformation requested for Monthly report.

  • Oversee and assist withmissing certified payroll and or documents requested by project team includinginformation requested for Monthly report.

  • Oversee and supportproject team –assistance with calendar, PowerPoint presentations, excelreports, MS Planner, and filing

  • Provide support to theentire project team to include Engineers, Superintendents, and Safety Manager.

  • Assist accounting with vendor inquiries and billing

  • Oversee and review truck mileage log for Turner Pool Truck and otherTurner trucks

  • Oversee and assist with all necessary badging, invoices, and audits relatedto security at the airport

  • Request and manage all subcontractor insurance certificate renewals.

  • Oversee visitor reception (sign-in and distribution of PPE)

  • Assist with executedcontract documents, ensure all executed contracts with attachments andcertificate of insurance are complete and placed in Procore.

  • Oversee and Assist withcertificate of insurance renewals including Turner’s BRI, PLI and Pollution.

  • Support purchasing withcalls and or requested documentation

*May perform other duties as assigned.
