Position Summary

This is an exciting opportunity to provide administrative support to the office of the Regional President and team. The ideal candidate for this position will have exemplary planning and time management skills and can organize and manage calendars, manage administrative functions and events. Keeps scheduling operations running smoothly and efficiently. This individual will also be instrumental in helping to manage relationships on behalf of the office, support key programs and monitor resources. Poise, articulate and professional communications are required.

What you will do

  • Proactively managing/coordinating daily schedule/calendar, contacts, travel arrangements, itineraries, help coordinate meetings (internal and external) and conferences

  • Maintain and update calendar; determine importance of meeting requests and schedule accordingly; demonstrate flexibility, serve as first-line of defense with the high volume of communications of phone and email.

  • Process reimbursement and expense reports in accordance with established policy guidelines; track expenses and update accordingly

  • Provide a bridge for smooth communication; demonstrate leadership to maintain credibility, trust and support with extended senior management staff.

  • Responsible for excellence in complex meeting/event preparation ; set up and follow-up including preparing presentations/agendas/materials, documenting notes, and coordinating follow-up items to completion, arranging for food/drink.

  • Coordinate on-boarding and support of Leaders and key colleagues, including IT needs and space planning, etc.

  • Provide support to the Leader in terms of providing expertise in HRIS transactions and org hierarchy management

  • Manage general office and administrative tasks, including ordering of supplies, renewing memberships and subscriptions, managing distribution lists, materials and deliveries, etc.

  • Manage department files, including electronic document systems, intranet web sites, wikis, and web-based project management tools.

  • Create drafts and edit presentations, agendas, spreadsheets, communications, databases, as directed

  • Prioritize and track deliverables, manage project timelines, deadlines and requests.

  • Perform other duties as assigned and assist with special projects

  • Serves as a subject matter expert for other administrative staff and back up as needed.

Minimum Requirements

  • 3-5 years of work experience supporting a Vice President or Executive level positions.

Preferred Qualification

  • Working knowledge of problem solving and decision making skills.

  • Excellent written and verbal communication with executive level presence.

  • Experience operating a matrixed organization.

  • Experience working in a fast paced environment.

Education

  • Bachelor's degree preferred/specialized training/relevant professional qualification.

Pay Range

The typical pay range for this role is:

$21.01 - $51.54

This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
