The Academic Senate is responsible for the formulation of policy relating to the admission and retention of students, curriculum, granting of degrees, campus life, and the nomination of academic deans. The Academic Senate also establishes the rules governing the use of the college name by organizations and clubs, making its bylaws consistent with the bylaws of CUNY?s trustees, and conducts the educational affairs customarily overseen by a college faculty. Reporting to the Chair of the Academic Senate, the Administrative Coordinator will perform the following duties: Prepare documents needed for the seventeen regularly-scheduled senate, executive committee meetings, and other meetings conducted by this office Organize and retain all documents and notes from all meetings Liaise with committee members, Senate Executive Committee members, administrators, faculty and staff, using excellent oral and written communication skills Oversee the department calendar to ensure smooth running of the Senate as a regulatory and advisory board Coordinate, review and document curriculum changes and committee member movements and ensure inclusion in the Chancellor?s University Report (CUR) and NYS Department of Education Monitor Bulletins and Departmental websites as changes are posted Train and supervise College Assistants, Federal Work Study Students etc. Coordinate events sponsored by the Academic Senate QUALIFICATIONS Bachelor's Degree required. PREFERRED QUALIFICATIONS Prior experience in office management in higher education, including knowledge of faculty governance Demonstrated proficiency with Microsoft Office and Oracle software (in particular, CUNYFirst) Excellent oral and written communication skills Highly organized Detailed orientated Knowledge of the Charter, Bylaws and Policies and activities of the Queens College Academic Senate or similar faculty governance bodies CUNY TITLE OVERVIEW Supports projects, initiatives, and activities that impact an academic or administrative department. Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. May supervise office staff and student workers.
