This vacancy is being announced at both the Medical Records Technician 1 and Office & Administrative Specialist Senior levels. Only one position will be filled, and the job classification level of the position will be determined based on the selected finalist's qualifications.

The Preston Veterans Home is seeking an individual to join our team as a Health Information Specialist to coordinate and administer the functions of health information management upon resident admission, during a residents' stay, and upon discharge.

This position is responsible for:

  • Performing audits of resident charts and compiling/tracking audit results and findings to ensure compliance with regulatory agencies and requirements.

  • Coding diagnoses according to the Internal Classification of Diseases, 10th revision (ICD-10-CM) that is required to be complete for all residents in a skilled nursing facility.

  • Administering release of information (ROI) requests for resident's medical records following state and federal regulations, Health Insurance Portability and Accountability Act (HIPAA), agency policies, procedures, and standards of work.

  • Functioning as a subject matter expert for the home's electronic health record (EHR) system and ensuring compliance with all regulatory requirements for data protection, security, and quality.

Office & Administrative Specialist Senior (OASS)

To qualify for the OASS level, applicants must have:

  • Knowledge of medical coding/terminology sufficient to identify and document accurate medical diagnosis codes in the electronic health records system.

  • Skills in using an electronic health record system, such as PointClickCare, or database management system to enter, update and maintain resident information in an accurate/timely manner.

  • Skills in using spreadsheet software (such as Microsoft Excel) to enter, track, compile and retrieve data and create reports.

  • Customer service skills to provide good customer service by effectively communicating with residents and families and responding to inquiries in a prompt, courteous manner.

  • Leadwork skills sufficient to provide work direction to the Health Unit Coordinator and guide/educate others on health information management.

Medical Records Technician 1 (MRT1)

To qualify for the MRT1 level, applicants must have:

  • Current certification as a Registered Health Information Technician (RHIT) by the American Health Information Management Association OR ability to obtain RHIT certification within the probationary period.( NOTE TO APPLICANTS: Please include information regarding your certification or certification eligibility in your resume or application.)

  • Knowledge of data privacy and the Health Insurance Portability and Accountability Act (HIPAA) sufficient to maintain confidentiality and security of patient medical records and private health information.

  • Knowledge of medical coding/terminology sufficient to identify and document accurate medical diagnosis codes in the electronic heath records system.

  • Skills in using an electronic heath record system, such as PointClickCare to update and maintain resident information in an accurate/timely manner.

  • Skills in using spreadsheet software (such as Microsoft Excel) to enter, track, compile and retrieve data and create reports.

  • Human relations, communications and presentation skills sufficient to effectively communicate with residents and families; lead, guide and educate others on health information management; and respond to inquiries in a prompt, courteous manner.

  • Organizational, prioritization and time management skills and abilities sufficient to function independently and provide lead work direction to the Health Unit Coordinator.

Preferred Qualifications

  • Experience in health information management in a skilled nursing or long-term care facility.

  • Experience and skills using PointClickCare software.

  • Experience in reviewing and coordinating release of information requests.

  • Knowledge of federal and state Center for Medicare and Medicaid Services (CMS) regulations related to resident health information.

  • Advanced skills in using Excel to develop and design reports.

Additional Requirements

  • A Minnesota Department of Human Services (DHS) background check may be conducted on the top finalist(s) for the position. When conducted, a finalist must pass the DHS background check.

  • A Tuberculosis (Mantoux) screening (or chest x-ray) is required prior to employment.

  • Employment reference checks will be conducted on finalists. This may include a review of documentation related to job performance and contact with the applicant's former employer(s).
