Position Title: Executive Secretary Department: Office of the President Emeritus Job Summary: Marist College invites applications for an Executive Secretary to the President Emeritus. The incumbent will perform a variety of administrative and clerical tasks, and will be responsible for the effective functioning of administrative processes in the Office of the President Emeritus. Essential Functions: The Executive Secretary will: Provide administrative and clerical support to the President Emeritus. Serve as the main point of contact for the Office of the President Emeritus with internal and external stakeholders - including phone calls, emails, and in-person visitors. Manage the President Emeritus calendar, and support virtual and in-person calls, meetings, and events (e.g. attendance lists, catering, materials, technology). Manage the office budget, including preparing and submitting expense reports and invoices. Plan and coordinate travel arrangements, including international travel. Prepare written materials, including routine correspondence and reports. Maintain stakeholder databases and overall office file organization. Work collaboratively with the Special Assistant to ensure the smooth administrative operation of the Office of the President Emeritus. Minimum Qualifications: This position requires: Outstanding organizational skills and attention to detail. Excellent writing, editing, and proofreading skills. Proficiency in Microsoft Office suite programs and database management. The ability to handle and prioritize multiple projects. The ability to complete assignments with minimal direction. Superior interpersonal communication skills, tact, and sensitivity, and confidence in dealing with a wide range of constituents, including senior College administrators, faculty, alumni, students, and community leaders. At least six years of progressively responsible administrative experience, including budget management. Preferred Qualifications: A Bachelor’s degree and experience working in a higher education setting are preferred.
