JOB OVERVIEW

Ontario Power Generation (OPG) is looking for a dynamic, strategic and results-driven professional to join our team in the role of Executive Administrative Assistant.

Reporting to the VP of Niagara Operations for Renewable Generation, this position is responsible for providing top-level administrative support to the leadership team which includes the VP and three Directors, requiring a high degree of discretion, judgment, and the ability to handle confidential information. The ideal candidate will be a proactive and detail-oriented professional with exceptional organizational and communication skills.

*KEY ACCOUNTABILITIES *

  • Participate with Leadership in the setting of priorities and the scheduling of his/her work projects and activities, advising relative to status of current work, target dates, scheduled action/meetings etc., and other related demands on time.

  • Receive and process information from others in the form of periodic routine reports, administrative forms or other routine format covering a broad array of subject matter such as time reporting, personnel/labour relations activities, budget feedback, performance matters or reviews, vacation requests etc. Consolidate, compile, prepare required forms, summaries etc. and/or take required routine actions to implement results.

  • Review requests for meetings, speaking engagements, media interviews, tours conferences, etc., recognizing sensitivity and confidentiality of the office. Maintain leader's calendar regarding meetings, appointments and screen calls and visitors, being mindful of established priorities.

  • Perform a liaison function between Leadership and others to pass along instructions to staff to provide advice or guidance on various matters, to expedite work as necessary to achieve deadlines, and to maintain continuity of objectives and practices across organizational lines.

  • Schedule and make all necessary arrangements for meetings and conferences such as the preparation and distribution of agenda and handouts, acquiring of meeting room, accommodation, ensuring correct participants, arranging for audiovisual or other equipment, ordering meals, preparing and issuing meeting notices, typing of minutes of the meeting covering numerous topics.

  • Make all necessary travel and accommodation arrangements for Leadership and staff, following appropriate travel and expense policies, including obtaining appropriate approvals for out of province and out of country travel.

  • Prepare and process confidential material as required by Leadership as well as PowerPoint presentations, summaries or other documents required to support ongoing operations.

  • Support organization and execution of various site events (townhalls, conferences, guests, etc.) and other duties as required.

QUALIFICATIONS

  • Post secondary diploma/degree in Business Administration, Communications, or a related field preferred.

  • Minimum of 5-7 years of experience in an executive administrative support role is preferred

  • Exceptional organizational skills and ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.

  • Ability to maintain strict confidentiality and handle sensitive information with professionalism and discretion

  • Strong problem-solving skills and the ability to work independently and handle multiple priorities with strong time management skills

  • Excellent interpersonal skills and the ability to work effectively with all levels of the organization.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

The base salary range considers many factors including, but not limited to experience, education, and training, including any collective agreement requirements for union represented positions. It is not typical for the salary to be offered near the top of the range, and salary is dependent on numerous factors. For management roles, the base salary range does not represent the total compensation package. The total compensation package for regular full-time management roles includes pay-for-performance programs for annual and medium time periods.
