Eugene Lang College, The New School for Liberal Arts, is seeking a dynamic and qualified candidate to fill an open Full-time Union Clerical Senior Secretary position in the Office of the Dean. The Senior Secretary reports to and supports the Director of FYE and Retention and has a dotted- line report to the Associate Director of Academic Planning . This is a clerical position is associated with the Local 1205 Clerical Union, and employees hired in this position must become a member of the Local 1205. For information regarding the nature of this position, applicants can visit http://www.newschool.edu/forms/hr_contract_local1205.pdf.   The New School is strongly committed to diversity and inclusion in the workplace and particularly seeks applications from members of underrepresented groups, as well as candidates who share this commitment. RESPONSIBILITIES First Year Experience and Retention Support Report to and work with the Director of First Year Experience and Retention to create and maintain documents and literature for the program, including offer letters, the First Year Fellows training syllabus, all welcome emails, videos, and letters that are created by the fellows and the First Year Seminar faculty. Provide secretarial support to the First Year Fellows program including coordination of the First Year Fellows training week and orientation week in August and January. Presence on campus during these weeks is required.  Assist in the First Year Fellows recruitment and hiring process through collecting student applications, scheduling interviews with the search committee, liaising with applicants, and matching student fellows with First Year Seminar sections. Coordinate with other university offices that partner with the First Year Fellows training and participate in orientation activities, including Student Housing, Student Health Services, Student Disability Services, Student Success, and the Lang Civic Engagement & Social Justice office. Oversee all logistical details and provide on-site coverage/troubleshooting during the First Year Fellows training and orientation week , including room reservations, catering, signage, IT, Facilities, purchasing of materials needed for training sessions etc. Additional First Year Experience and Retention Programmatic Provide secretarial support to the First Year Experience and Retention Program and general assistance to the faculty and students in this program. Solicit, file, and review faculty documents for format and inclusion of relevant university policies (e.g., syllabi). Work with the Director to create and maintain program-related documents and literature. Input and proof data sets for building class schedules, gather course descriptions, room attributes, days/times, etc. Provide secretarial support to Lang faculty searches. Maintain, track, and file office documents and records (e.g.,first year and retention-related communications and reports). Oversee all aspects of event planning and programmatic activities; presence may be required at events which may include some evenings and/or weekends. Create and post all materials promoting departmental and college events. Maintain digital presence for the First Year Experience and Retention program. Hire, train, and supervise work-study students. Serve on graduation and orientation event planning committees (and day-of onsite presence is required). Other duties as assigned.   Office Support Provides general office support including distributing mail, answering phones, facilities and IT requests, office key distribution, faculty office move support Maintain all office equipment and supplies Assist Lang's Dean's Office, as needed MINIMUM QUALIFICATIONS Minimum two years office experience. B.A. Preferred. Excellent attention to detail, organizational, time-management, and interpersonal skills. Strong writing and verbal skills. Experience working in higher education and with faculty a plus. Proficiency in Microsoft Office Suites, particularly Excel spreadsheets. Familiarity with Google Suite and Zoom. Experience with Banner, Workday, Tableau, photoshop a plus. Until further notice, this is a hybrid position, with specific days onsite and others remote; onsite work required for orientation and the week prior.  WORK MODE Hybrid #LI-Hybrid SALARY $26.60 per hour.
