Position Summary Reporting to the Executive Director for Finance and Budget, the Senior Manager of Financial Operations will oversee and execute comprehensive financial operations for the Office of the Executive Vice President and the departments, institutes, centers, and laboratories of the Arts and Sciences (A&S) at Columbia University. The Senior Manager will support the university's broader mission of advancing knowledge and impact by analyzing financial data, producing variance reports, and working collaboratively with finance and budget staff. Responsibilities include approving high-level financial transactions, ensuring compliance with purchasing and accounts payable policies, providing financial training and guidance, and managing budgets for various programs and projects, including faculty development funds, capital projects, and international programs. This is a hybrid position, requiring in-office attendance three days per week. Responsibilities Independently reviews and approves as needed and up to authority limit, vouchers, requisitions, and change orders in ARC that are above the approval level of department business managers and DAAFs. Serves as the Financial Approver in Concur for the EVP Office as well as the departments, institutes, centers, and laboratories. Interprets and enforces department transaction compliance with all Purchasing and Accounts Payable policies in partnership with the Executive Director. Provides training and guidance to departments/centers/institutes on best practices for financial transactions and reporting, as well as on A&S-specific policies and procedures. Approves P-Card transactions for the monthly hard close for cardholders within the EVP Office, as well as for department, institute, and center cardholders in senior positions. Oversees the budgeting and financial systems approvals for the directed resources of the Executive Vice President and the Divisional Deans of the Arts and Sciences. Works with the Directors of Decanal Affairs and the Associate Director for Faculty Diversity and Development in the EVP Office on budgeting and funding annual Council grants and Equity and Diversity funding. Reviews and oversees the reconciliations and funding of faculty Start-up Funding, in collaboration with the Executive Director of Finance and Budget. Manages the financial operations of the Lenfest Faculty Development Endowment, overseeing cash flows to support its programmatic obligations. Maintains the overall financial management of capital renovation and refresh projects funded by A&S. Monitors budgets, reconciliations, and end-of-year funding. Partners with departments and with the A&S Director of Facilities and Space Planning, as well as Facilities and the Budget and Controller?s offices as necessary, to ensure associated projects, segments, and activities are properly established. Manages the monthly reconciliation of accounts for Casa Muraro, an A&S department located in Venice, Italy. Provides budget tracking and transactional support for both operational and programmatic budgets. Monitors the external bank account and replenishes cash as needed. Collaborates with the Office of the Treasury to ensure proper accounting and compliance. Ensures that chart-field creations initiated by the Financial Coordinator or Administrative Assistant are completed for all segments necessary for the appropriate tracking of expenses in the EVP Office, departments, institutes, and centers. Analyzes financial data and produces reports on spending and variances, as needed, for A&S Associate Vice President for Finance and Human Resources. Participates in the preparation of the annual budget submission and fiscal year-end financial close, in collaboration with the Executive Director of Finance and Budget and the Associate Vice President for Finance and Human Resources Works as a team with other members of the Financial and Budget Operations staff as backup on critical functions during periods of intense workload and deadlines. Performs additional related duties & responsibilities as required. Minimum Qualifications Bachelor?s degree or equivalent in education and/or experience plus a minimum of two years related experience. Preferred Qualifications Experience in a higher education setting is extremely desirable. Other Requirements Excellent organization, interpersonal, oral, and written communication skills. Strong analytical skills. Must manage highly sensitive and confidential communications with accuracy, discretion, and integrity. Proficiency with Excel is mandatory. Demonstrated ability to work independently and handle multiple projects simultaneously under tight deadlines. Competency with and/or ability to quickly learn and become proficient in the University?s financial systems. Proven ability to problem solve and work independently and as part of a team.
