Overview

The Facilities department is tasked with keeping all NYPL locations safe, clean, comfortable and welcoming for our patrons and staff.

The Stephen A. Schwarzman Building is part of The New York Public Library, which consists of four major research libraries and 88 branch libraries located in the Bronx, Manhattan, and Staten Island. Often referred to as the "main branch," the Beaux-Arts landmark building on Fifth Avenue and 42nd Street houses outstanding research collections in the humanities and social sciences as well as a circulating children’s collection.

The Senior Building Manager provides direction to a team of thirty-eight and coordinates the day to day operation and maintenance of the approximately 670,000-square-foot Stephen A. Schwarzman building. This includes organizing, distributing and verifying the work of the maintenance and custodial staff and participating in their training. They also manage vendor and contractual service performance. The position requires diligent recordkeeping and other administrative duties related to maintaining an efficient and professional Facility Operations team.

We are looking for someone we can count on to:

Own :

  • All aspects of maintenance and cleaning operations at the Stephen A. Schwarzman building

  • Supervision of the performance of Facilities staff

  • Completion of building audits to ensure compliance with accepted Library standards

  • Staff scheduling; assign and inspect work to assure the highest quality results

  • Emergency response to weather events and systems failures; organize snow removal, grounds maintenance and site specific tasks

  • Special assignments; determine crew sizes, and ensure projects are competed in a timely manner

Grow:

  • Staff skills and knowledge in cleaning methods and techniques, and on the use of chemicals and machinery

  • Inventory and cost controls to effectively manage resources and supplies needed to operate the facility

Learn:

  • How the Facilities Department interacts with other divisions and departments

  • How to improve critical work functions and efficiencies in operations

  • How to diversify your knowledge of building operations, including mechanical and life safety systems

Improve :

  • The ability of NYPL to provide Library Patrons and Staff a safe and welcoming environment

Some expectations for this role are that within:

1 month , this person will:

  • Understand how the library is organized and physically laid out

  • Understand the specific goals and role of the Facilities Operations team in relation to other departments

  • Know their departmental contacts

  • Perform daily building inspections

3 months , this person will:

  • Serve as a primary point of contact for events

  • Participate in event planning meetings

  • Develop logistical plans

  • Oversee implementation of schedules for daily and periodic services

  • Resolve scheduling problems

6 months and beyond , this person will:

  • Train supervisors and porters on proper techniques and procedures for Cleaning Operations and fully serve as the Program Administrator of the Cleaning Operations Plan

  • Perform inspections and assessments independently

  • Manage the maintenance and engineering staff and address issues

  • Develop cost estimates for OT labor to support events

Responsibilities

  • Manages all day-to-day cleaning, maintenance, building operations, building repairs, and vendor service management

  • Ensure the building's systems (HVAC, plumbing, electrical) are functioning properly and coordinate repairs as needed, and that preventative maintenance is being performed

  • Coordinate with the Health and Safety team to ensure the building meets safety regulations and standards

  • In coordination with the Energy and Sustainability team, implement energy-saving measures and sustainability practices to reduce the building’s environmental impact

  • Oversee work of outside contractors providing contract maintenance or repair services and maintain accurate records

  • Acts as liaison between Facilities Operations and Special Events Office and works overtime as needed to support the needs of the department

  • Prepares requests for proposals (RFP’s), conducts walkthroughs, and obtains bids for work from outside vendors

  • Motivate and manage a large team with limited resources

  • Manages budget to ensure spending remains within budget guidelines

  • Performs related duties as required

Required Education, Experience & Skills

Required Education & Certifications

  • Bachelor’s degree and management experience in building operations; or equivalent combination of education and experience

Required Experience

  • Substantial experience in maintaining building inventory, implementing and administration of preventive maintenance programs and preparation of work schedules for maintenance staff

  • Must be able to respond quickly and tactfully to emergency situations. Substantial experience in the monitoring and coordination of building renovations

  • 4 plus years of successfully demonstrated supervisory experience

Required Skills

  • Thorough knowledge of established practices and procedures for operating building equipment including the ability to resolve mechanical equipment problems

  • Strong computer skills, must be able to read blueprints and have a working knowledge of a building monitoring system

  • Demonstrated knowledge of industry standard cleaning methods and procedures, materials safety handling, and experience ordering and maintaining supplies and equipment

  • Must be able to communicate with staff, management at all levels and outside vendors /contractors

  • Good interpersonal skills, oral and written communication skills including demonstrating the ability to work well with Library staff at all levels

Managerial/Supervisory Responsibilities

  • People managing: Team of thirty-eight, including porters, supervisors, maintainers, and engineers.

  • Key partners: Associate Director of Midtown Campus, Operations Supervisor, Sights and Services Staff, Events Personnel, Safety Department, Energy Department

  • Ability to respond to emergencies after hours
