Position Summary Program Manager will manage logistical and administrative support for the STEMSEAS project on behalf of the Project Director/PI, serving as the on-campus point of contact for all program-related activities. Coordinates travel and hotel logistics for program-related activities, processing all travel reimbursements, preparing and obtaining signatures on participant packets, packing supplies for expeditions, maintaining and tracking inventory, and purchasing supplies. The Program Manager will prepare vendor packages, subawards and invoices related to STEMSEAS activities as required by the MLP Division Manager and Central Administrative procedures. Responsibilities Manages and supports program-based activities for STEMSEAS participants and mentors, and with relevant participating institutions. Prepares and processes vendor and subaward packages. Pulls ARC data and routinely generates and analyzes various reports. Processes invoices, reimbursements and reconciles purchases. Creates requisitions and purchase orders in compliance with university and departmental guidelines. Under the business manager?s supervision, oversees and monitors the program?s budget. Reviews and reconciles budget reports. Implements project management, filing, data sharing, and record-keeping procedures and workflows. Identifies opportunities for improving administrative practices and makes recommendations for implementation. Coordinates and arranges all travel and hotel logistics for STEMSEAS project, processes all travel reimbursements, prepares and obtains signatures on participant packets, and obtains signatures for field trip waivers when required. Alongside the business manager, works with relevant administrative departments and outside vendors to plan meetings and events, ranging from Zoom webinars to coordinating and planning events and travel at the request of the STEMSEAS PI. Staging, packing, and shipping of supplies for expeditions related to STEMSEAS project; purchasing supplies, and tracking project inventory. Assists with program PR, including writing articles and social media posts. Tracks program and participant data and prepares statistics and charts for journal articles and reports. Serves as the program's administrative point of contact for a range of stakeholders including faculty, staff, students, and other universities, in person or via phone and email. Other activities as required and assigned by the MLP Division Manager. Minimum Qualifications Bachelor's degree or equivalent, and 2 years of related experience required. Proficiency with Microsoft Office and Google Suite required. Basic proficiency with Adobe Creative Suite is desired. Familiarity with ARC and/or other financial tracking systems beneficial. A client-centric mindset and the ability to work with many different types of stakeholders. Ability to work in a high-paced environment with multiple deadlines.
