Responsible for providing administrative support for a department head or group of individuals. Responsibilities may include, but are not limited to: coordination of meetings, travel and events, project management, ordering of supplies and equipment, coordination of other assistants, assisting with colleague onboarding, and managing various reports. Position requires excellent organizational skills, and the ability to handle multiple tasks simultaneously. Support responsibilities may include data input, data processing and / or data verification for routine processes, with associated filing and / or distribution of related materials.
Primary responsibilities include
Manage multiple projects simultaneously/in a timely manner.
Coordinates internal/external meetings, conference calls, and domestic/international travel.
Distributes agenda, meeting packages, responsible for meeting minutes, and tracking due dates.
Accurately tracks expenses/process and submit expense reports in a timely manner.
Data entry/filing.
Owns various department projects and helps with communication and training coordination.
Displays excellent communication skills in working with clients (internal/external), and vendors.
Respond to client inquiries, following up internally and staying in contact with relationship management team
Qualifications:
Bachelor's degree preferred
High School Diploma required
3+ years of direct executive support leaders in large organizations, ideally in the financial services or related industry with emphasis around client service
Competent use of Microsoft Office applications to include Microsoft Project, Excel, Teams, Visio, PowerPoint, Word and Outlook
SharePoint knowledge a plus
Attention to detail and sensitivity to deadlines
Effective communication skills, both written and verbal
Strong prioritization and problem-solving skills
Tech savviness – ability to learn new software quickly and effectively
Hours & Work Schedule
Hours per Week: 40
Work Schedule: M - F 8:00 AM - 5:00 PM (some days will require staying later until 6:00 PM apx) Ideally 4 days a week in the office, but a minimum of 3 days a week in the office is required.
Flexibility is key and this role is over time eligible - must be approved by manager.
Pay Transparency
The salary range for this position is $37.00+ per hour. Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
