The Center for Human Rights and Global Justice at NYU School of Law was established in 2002 and is a leading action-research hub that contributes to the global human rights project through scholarship, education, field building, advocacy, and legal practice. Across a wide range of issue areas and projects, we collaborate closely with partners from diverse geographies and disciplines on the new ideas, practices, and strategies that are needed to address existential challenges to human rights and global justice. The Center is seeking an Executive Assistant to provide administrative, operational, event planning, finances and grant management support for the Chair and Faculty Director, Professor César Rodríguez-Garavito. Position Description Responsibilities Administrative & Operational Support Managing the schedule for Professor César Rodríguez-Garavito Tracking communications sent to Prof. Rodríguez-Garavito and facilitating timely responses. Attending relevant team meetings and taking and systematizing notes. Printing materials for events and courses, including, for example, posters, name tags, agendas, manuscripts, etc. ?Identifying potential bottlenecks and delays in grant-related activities and events and troubleshooting to find timely and effective solutions. Keeping up-to-date on NYU rules and procedures to ensure compliance by Prof. Rodríguez-Garavito and by those working on projects supported by his grants. Supporting Prof. Rodríguez-Garavito in the execution of other tasks and activities, as needed. Event Planning Booking rooms and spaces for events for projects supported with grants secured by Prof. Rodríguez-Garavito. Ordering and managing catering for events for international and domestic projects on a broad range of topics, including climate justice, human rights, strategic litigation, international Indigenous rights, and technology and human rights. Managing audio-visual needs for events, including remote participation in events. ?Booking and managing travel and accommodations for events, including any reimbursements for participants in such events. Overseeing building access for events. Managing any honorariums for events. Relevant events include, but are not limited to, three annual in-person events of 100 attendees through the More than Human Life (MOTH) Project and other small to midsize events affiliated with Climate Law Accelerator (CLX), and Right to Healthy Environment (R2HE). Supporting activities for and potentially attending other events in New York and other US and international locations as needed. Finances / Grant Management Purchasing materials for Prof. Rodríguez-Garavito as well as for the project leads associated with his grants. Tracking grants, including the levels of spending associated with each grant as well as deadlines for reporting for grants. ?Organizing, filing, and maintaining administrative records for documentation, reference, and grant reporting process and ensuring consistency. Planning for, processing, reconciling, and reporting financial activities related to grant projects, programs, or initiatives using T&E, Purchasing, and CTA credit cards. This includes preparing monthly credit cards reports, reconciliations, reimbursements, and travel-related payments. Handling procurement, billing, reimbursements, and all transactions related to purchasing and corporate cards associated with the grants and projects of Prof. Rodríguez-Garavito. Maintaining internal budgets, transactions, and cost forecasts when planning events and activities. Collaborating with the Center for Human Rights and Global Justice on onboarding vendors, drafting independent contract agreements, and following financial practices necessary for grant implementation. Recruitment timeline and process Application Deadline: October 18, 2024 Interviews: On a rolling basis Compensation and modality Based on the applicant?s experience; salary ranging from $66-70,000 including benefits. The position is full-time, in-person, and based at NYU in New York City: Office hours are Monday-Friday from 9:00 a.m. to 5:00 p.m. (ET) Events coordination requires work outside those office hours including weekends and evenings. Remote flexibility of up to 2 consistent days per week, determined in consultation with Prof. César Rodríguez-Garavito Applicants must meet the following criteria: BA degree in management, business, operations, finance, economics, nonprofit management, human rights, global affairs, environmental studies or administrative-related field of study. Demonstrable experience in working with organizations and entities in related fields such as research centers and institutes, higher education, nonprofit, and/or human rights or environmental justice organizations. Ideal candidates should be able to: Start working with the team quickly. Demonstrate affinity and interest in working in a space dedicated for human rights and global justice, including environmental justice. Understand the realities and nuances of working with passionate and talented teams operating in a varying range of organizational approaches. Follow instructions, tasks and expectations as assigned including taking responsibility for tasks implicitly associated with each assignment. Work comfortably in a high-pressure environment and within hierarchical institutions and structures. Be methodical and able to develop processes in ambiguous scenarios. Receive feedback and constructive criticism from a variety of channels. Showcase outstanding project management skills including: Attention to details, organization, strategic thinking, financial and analytical competencies, effective communications including speaking, writing and active listening to capture ideas sprouting in group sessions, solid time management, prioritization and multitasking abilities. Proactively seek out opportunities to advance and improve processes and procedures. Demonstrate interpersonal and intercultural competencies to build strong relationships with internal and external colleagues and partners. Proficiently use Google Workspace (docs, sheets, drives, slides, calendars, Gmail, forms, groups etc.) and MS Office Suite (Word, Excel, PowerPoint).
