This position will offer workplace flexibility e.g. working remotely or on site as needed/ desired during the week. Employees can expect to be in the office weekly as needed for meetings and team collaboration and should live within a commutable distance. What we do:
Dining, Events and Conference Services (“DECS”) Event Planners assist in fulfilling DECS’ goal of providing “one-stop-shop” service for planning and coordination of conference and corporate events hosted at the Federal Reserve Bank of New York. They assist customers with all aspects of event and conference planning. The Event Planner ensures each event runs smoothly, is well executed and meets customer`s requirements and expectations. The Event Planner is forward-thinking and creative with high ethical standards and an appropriate professional demeanor. They must be able to work quickly and efficiently on several projects at one time, are results oriented, have strong time management skills and work enthusiastically in a constantly changing environment.
Meet, greet, and assist guests entering the conference center in a professional, courteous, and timely manner. Possess excellent problem-solving skills to efficiently and seamlessly resolve unforeseen issues related to conference center meeting rooms such as schedule conflicts, overbooked rooms, audio visual challenges and miscommunication about various services. Coordinate conference room reservations and ensure meeting rooms are neat and organized. Partner with Food Services and Technology Group to provide required services to clients. Respond and address challenges in the Conference Center conference rooms. Coordinate necessary service calls for equipment and conduct daily meetings with food service provider to coordinate service. Provide administrative support to Event Management team and assist, as needed, on special projects and assumes additional responsibilities, as requested.
Your role as an Event Planner:
Participate in the tactical execution of events focused on consultative services with each client giving personalized attention; guidance for each event
Assistance with selecting appropriate meeting, conference or special event spaces
Reservations for executive dining and for event spaces
Consult and advise customers on event best practices
Work with customers on Discretionary per capita limits and reporting requirements
Coordinating Bank Support Services: (e.g. AV, food services, facilitating room set up, travel, hotel accommodations) per capita limits and reporting requirements.
Event Budgeting and Compliance Review
Event Registration Services
Negotiating with third party vendors
What we are looking for:
3+ years’ experience in either conference services or corporate event management working with catering services, menu planning and client consultation
Undergraduate degree in hospitality management, marketing, communications, business or equivalent work experience
Proficient with the Event Management System and Cvent registration tool used to manage registration and event logistics
Experience developing budgets
Proficiency with MS Word, Excel, PowerPoint; experience with Adobe Professional and Photoshop, desirable.
