The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Reporting to the Associate Dean Professional Advancement, Graduate Degree Programs & Executive Education and the Director of the Davis Polk Leadership Initiative. Responsibilities General Office Administration: Respond to emails and manage Front inbox; and route routine queries and other communications to PAA staff and other CLS, CU and external audiences; Prepare expense reports and coordinate travel for Associate Dean and Associate Dean?s direct reports; Track leave for the Associate Dean and Associate Dean?s direct reports; Schedule meetings, reserve space and greet visitors on behalf of the Associate Dean and Director of Operations; Take lead on logistics for PAA events/meetings (staff events, student programming, recurring PAA meetings, etc.) Manage office supply needs and work with the business office to reconcile purchases; Monitor and update the PAA and DPLI Calendar as directed Act as primary contact regarding maintenance of the PAA office space/facilities and act as student and guest travel arranger for all PAA offices. DPLI: Plan, coordinate, and manage several active calendars. Provide administrative support for DPLI-related courses, including the Lawyer Leadership seminar. Assist in the preparation and distribution of agendas, correspondence, and documents, and related tasks for DPLI activities, including Fellowship and Grant selection, weekly Fellowship sessions, DPLI co-chair and advisory committee meetings, and coaching sessions. Respond quickly and professionally to emails, requests, and phone calls from all constituencies and follow-up as necessary to ensure that tasks and conversations are resolved in an appropriate timeframe. Work with print services, building services, and IT for various day-to-day tasks, including reprographics and managing office supply needs. Work with Director of DPLI to develop a communications and social media strategy; maintain and update DPLI website and calendar, including LawCal entries. Plan and coordinate events and programs (such as Fellowship sessions, workshops, events, and conferences), arranging publicity (including creating event flyers and managing RSVPs), catering (including accommodating for dietary restrictions), travel arrangements, reimbursements, and honoraria. Arrange travel on behalf of DPLI faculty and visitors. Work with Business Office (and other relevant offices) for all relevant tasks, including payment of Fellowship stipends, approving Fellowship and Grant project expenses, reconciling ARC transactions, and preparing travel and business expense reports for submission to the Business Office via Concur. Maintain up-to-date database of DPLI alumni and contacts. Perform other duties as assigned by the Director of the Davis Polk Leadership Initiative. General PAA Support: Perform other duties as assigned/requested in furtherance of PAA and CLS goals, supporting programming, workshops and other similar events among PAA offices. Executive Education: Provide administrative and logistical support for all events and meetings managed by the Associate Dean?s Office, including all Domestic Executive Education programs and events. Schedule and organize Advisory Board meetings. Minimum Qualifications High School Diploma or its equivalent required. College Degree or equivalent strongly preferred. Minimum of two years? experience, or the equivalent combination of education and experience, required. Must have excellent communication skills (both oral and written), strong computer skills(including Microsoft Word, Excel, and PowerPoint) and, the ability to manage multiple projects at the same time. Strong organization skills necessary. Must enjoy working in a team environment and have excellent interpersonal skills. A positive and welcoming presence is a must.
