This position involves a wide variety of financial and administrative functions in support of the department’s fiscal operations. Under supervision of the Assistant Director of Finance, the Business Manager will be required to complete tasks related to budget, billing and vouchering procedures as they pertain to each of the department’s schools, as well as to identify and implement recommendations for modifications and improvements to those procedures, as necessary.
ESSENTIAL RESPONSIBILITIES
Budget-Related
Assist with preparation of school and department-wide budgets and gathering of information for auditing purposes.
Conduct timely and comprehensive analyses of each school’s budget, highlighting areas of overspending and monitoring disbursements by budget category to ensure budget lines are not exceeded.
Create budget, mid-year and year-end expenditure reports for the UPK program and for other programs, as requested.
Billing-Related
Track units of service on weekly basis for each department program and create related reports for submission to management.
Track, monitor, and reconcile the revenue, expenses and receivables for each program.
Alert management to problems regarding the billing for each program to ensure accuracy.
Maintain ongoing communication with key personnel in Billing Department to ensure timely submission of program billing.
General
Prepare various monthly general ledger journal entries as assigned, including monthly and year-end expense accruals. Produce various reports related to revenue, expense, and/or payments as needed.
Prepare and submit various applications and school calendars for different programs and grants.
Maintain timely and accurate files on vendors, contracts, letters of agreements, and purchase orders.
Establish main database of all students and update information as applicable.
Provide support to Assistant Director of Finance in liaising with Accounting Department, relevant school staff, and external contacts.
Perform other assigned tasks, as requested.
REQUIRED QUALIFICATIONS
Bachelor’s degree in Accounting/Finance/Economics, with 2-3 years of related work experience preferred.
Experience with automated general ledger systems required, with working knowledge of Great Plains and FRX accounting software highly preferable.
Additional intermediate computer skills needed, including expertise in use of Microsoft Word, Excel, and Outlook. Must have the ability to input information into databases, create reports and spreadsheets, and process invoices.
Must exhibit excellent organizational skills and the ability to manage multiple tasks simultaneously, while exercising independent judgment and problem solving abilities.
Strong interpersonal and communication skills are required. Experience interacting with senior management, colleagues within the agency’s administrative departments and external stakeholders highly desired.
Must be able to communicate effectively and tactfully in both verbal and written form. Must be able to establish and maintain effective working relationships with those contacted in the performance of required duties.
Must have the ability to work under pressure and handle competing priorities.
Experience working in a non-traditional workplace, such as one with individuals with developmental disabilities, is preferred.
Salary Range: $72,500-75,000
