Job Type: Officer of Administration Bargaining Unit: Regular/Temporary: Regular End Date if Temporary: Hours Per Week: 35 Salary Range: Position Summary Reporting to the Executive Director of Alumni Relations and Special Events, and the Director of Alumni Relations, the Associate Director oversees Columbia Law School?s Alumni Association activities, manages all aspects of the Associations Executive board meetings including logistics, agenda and content, and assists with managing the Board of Visitors meetings and events. Working closely with the Executive Director of Alumni Relations and Special Events, and also the Dean?s office, the Associate Dean for Development and Alumni Relations, Development officers, and various Law School staff, faculty and key alumni, the incumbent will oversee several aspects of the annual Association Winter Luncheon and Medal for Excellence event, and all aspects of the annual Stone Circle Luncheon, annual donor recognition events, the Alumni Speaker Breakfast Series, the Dean?s Luncheon speaker series, alumni legacy stewardship for alumni participation in graduation, and, additional alumni events. As such, the incumbent will interface with, manage and advise prominent faculty, alumni and donors to facilitate their participation as speakers and hosts. He/She will also assist with promoting our LawLink networking platform to alumni and boards, strategize partnerships with student organizations to reach alumni populations via LawLink, and promote events and communications within the platform. The incumbent will maintain the overall text and accuracy of the CLS alumni website, and will keep content up to date. The Associate Director acts as the departmental steward of email communications to alumni, regulating email traffic to ensure only a reasonable amount of communications are sent to the constituency, and also designs and executes annual and one-off email communications from the Dean and the Alumni Relations office to / for alumni. The incumbent also will advise the Assistant Director for Alumni Relations and assist with developing and maintaining connections between the alumni relations department and key student organizations. Above includes both in-person and virtual event production skills as necessary as well as hybrid formats. Responsibilities Plan and execute all aspects of three annual Columbia Law Alumni Association Executive Board of Directors meetings including agendas, guest speakers, recruitment / nomination / election of new directors and management of the Association at large. (15%) Plan and execute specific, large-scale alumni events, including but not limited to, aspects of the Law School?s annual Winter Luncheon and Medal for Excellence award, the Stone Circle Luncheon, annual Harlan Fiske Stone Society donor events, and misc. alumni events. (15%) Advise the Assistant Director of Alumni Relations-Regional on planning and execution of regional alumni events both domestic and international, stewardship of all legacy students/alumni for the annual graduation programming, and interface with the alumni relations office and student organizations. (20%) Manage production of Alumni Speaker Breakfast Series and the Dean?s Luncheon Speaker Series to identify high-profile alumni speakers and hosts, draft invitations and related correspondence on behalf of the Dean, and management of all logistical planning. (20%) Assist Director in driving adoption rate among alumni and staff into LawLink, and strategizing opportunities to leverage LawLink and its resources for alumni and students manage and steward the alumni relations email account to regulate email traffic to alumni, and design and execute key annual and one-off e-communications, invitations, communications, etc. from the Dean, the alumni relations and development office, faculty and high-profile alumni. (15%) Responsible for maintaining accurate and timely information on the alumni website and approve / prioritize all information for inclusion; collaboration with the Communications department on all related projects. (5%) Coordinate with the Director of Alumni Relations to manage responsibilities of AR assistant (5%). Performs other related tasks as necessary. (5%) Minimum Qualifications BA required. 3-5 years of directly related experience in alumni relations, or directly related fields required. Must be highly organized, capable of managing multiple and complex projects under deadlines, mature, and have excellent verbal and written communication skills. Early / late hours required during periods, some weekend hours and some travel. Proficiency in word processing, Power Point, Excel, Raiser?s Edge, Mailchimp, and data management strongly preferred.Must be able to work with diverse constituencies and support an inclusive work environment.
