Job Type: Officer of Administration Bargaining Unit: Regular/Temporary: Regular End Date if Temporary: Hours Per Week: 40 Salary Range: Commensurate with experience Position Summary The Assistant Director of Student Events & Outreach acts as the primary point of contact for student groups for University Event Management. This position manages scheduling for all student groups for UEM managed space including outdoors. The Assistant Director is a key contributor to event management policy and procedures as it relates to students. Manages the communication directed towards students for UEM ensuring the department?s communication campaigns are conveyed in an appropriate and sensitive manner. Develop relationships with student leadership to discuss departmental plans/proposals and obtain feedback on such, to ensure awareness of the student perspective on all decisions and maintain a transparent administrative process. Responsibilities Represent the customer service point of contact for the planning and coordination of venue operation services and the day-to-day event support associated with Lerner Hall. (50%) Coordinate all aspects of planning and service delivery and manage relationship between event activity and other offices. Work with facilities to insure general housekeeping of event spaces and good general working order of equipment before and after each event. Communicate with facilities to resolve any room set-up issues Manages the pre-calendaring process. Schedules and approves all student events for UEM managed space including outdoors. (15%) Collaborates with the management staff assigned to the events to ensure satisfactory execution of all events. Acts as the department?s liaison with student groups. (15%) Serves as the departmental spokesperson, in the absence of the Executive Director or other member of the UEM leadership team, for student publications and media and/or provides counsel and tactical support to the appropriate UEM staff member Participates in the planning and executing of large special events for students. Interacts effectively and diplomatically with the University community including student organizations, campus departments, staff, management, and the general public. Participates in special projects with Student & Administrative Services? Communications team. Develops relationships with student leadership to discuss departmental events, plans/proposals and obtain feedback on such, to ensure services provided meet the needs of the students. (10%) Utilize a variety of tools to assess student?s opinions. Continually improve products and services to meet the needs of the students and greater campus community Directs all commercial and student film activities including contracts, insurance, coordination of services, and food and beverage activities. (5%) Collaborates with other members of the UEM team to formulate and implement UEM policies as it applies to UEM managed space including outdoors, commercial filming and UEM sponsored events throughout campus, particularly from the perspective of impact on students. Manages the department?s web site collaboratively with the Marketing and IT teams. (5%) Performs other duties as assigned. Minimum Qualifications Bachelor?s Degree is required. Minimum 4 years of related work experience is required, preferably in a higher education setting. Strong customer service orientation and an understanding of how an organization can support excellent service is required. A demonstrated ability to work independently, manage conflicting priorities, and work under deadlines required. Must possess excellent communication skills, both oral and written. Demonstrated skills in problem assessment and resolution as well as collaborative problem solving in a complex, interdisciplinary setting is desired.
