The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Reporting to the Director of Operations, the Assistant Director will provide administrative and operational support for complaints of protected class discrimination and harassment, retaliation, sex-based harassment, sexual misconduct, stalking, and domestic and dating violence, filed by and against students, employees, faculty, administrators, and third-party affiliates. Columbia University recently combined its Title IX, Gender-Based Misconduct, Office of Equal Opportunity and Affirmative Action (EOAA), and Office of the Protection of Minors teams into one centralized office. These offices are supervised by the Vice Provost for EOAA. Through the applicable policies and procedures for faculty, staff and students, the University provides the means to address discrimination, harassment, sexual and related misconduct, including gender-based harassment, sexual harassment, sexual assault, domestic and dating violence, stalking and sexual exploitation. These offices are responsible for ensuring compliance under these policies and with federal, state and local laws regarding Title VI, Title VII and Title IX. Responsibilities Responsible for administrating unit records databases, training all internal users, and ensuring security protocols are followed Improve the efficiency of the units' day-to-day administrative operations by creating, reviewing, and implementing functional procedures. Assists in the editing and review of policies, websites, educational documents, and annual reports pertaining to the applicable policies and procedures, and University resources. Works in partnership with the Director of Operations on external reports and public-facing messages and media inquiries. Administers and trains staff on Case Management Software and other related technology and software systems and related data security protocol. Triage and respond to sensitive and confidential inquiries from faculty, administrators, students, and family members regarding various university protocols, procedures, and resources. Manages outreach initiatives including editing and maintaining digital and print materials that support the department(s) functions. Works closely with the Director of Operations to ensure all procurement, budget planning and payments are completed in a timely manner including working with outside vendors and internal campus partners to meet the needs of the units. Manages and evaluates case workflow and identifies opportunities to streamline case management and incident reporting. Manages Title VI and EOAA case progress, records, triaging reports, and other sensitive documents including monitoring the number of business days a case is pending in compliance with federal, state, and institutional guidelines. Routinely generates and analyzes various reports including incident reports, case records, and other sensitive data. Responsible for compiling and reporting on Clery, 129 A & B, and other federal, state, and institutional reporting guidelines related to Title VI and EOAA. Serve as a liaison to the Department of Public Safety, the University's Registrar, and Columbia Residential and Campus Services. Requests campus access to investigations including CU's Student Information System, building security, and housing assignment systems. Responsible for the onboarding and training for new employees. Manages timely progress and assists in the implementation of projects overseen by self or the Director of Operations. Work independently and use sound judgment when handling sensitive information. Work closely and collaboratively with the new office's teams, the University?s Office of General Counsel, Deans of the schools, and University stakeholders. Performs other related duties as assigned. Minimum Qualifications Bachelor's degree and 3-5 years of experience required. Preferred Qualifications Excellent verbal and written communication and organizational skills, good judgment, an appreciation of confidentiality and discretion, and attention to detail. Candidate must be well organized and able to manage a demanding workload and complex cases in an accurate and timely fashion Able to communicate effectively in both oral and written form. This position requires the ability to interact positively, constructively, and effectively with professional staff, students, faculty, and organizational stakeholders. Strong interpersonal, customer service, program planning, and organizational skills required. Resourcefulness, discretion, attention to detail, flexibility, and the ability to prioritize and manage multiple tasks are essential. Ability to work independently and follow through and handle multiple tasks simultaneously. Proficiency with MS Office Suite, Google Suite, Adobe Acrobat Pro, and other desktop publishing and database software.
