Position Summary The Assistant Director, Admissions is responsible for the supervision of admissions team members processing admissions applications, ensuring all required application documents have been submitted, applicants with low English language proficiency and other important designations are flagged appropriately, and pre screening applications against the admissions rubric to provide an initial evaluation for the admissions committee to view. The Assistant Director works closely with the Director, Admissions to uphold and strengthen the integrity of the application review process for the School of Professional Studies growing set of offerings. These offerings currently include cross-disciplinary Master?s Degree Programs, Pre-Graduate and Graduate Certificate Programs, Structured and Unstructured Certifications of Professional Achievement, take-a-class options for bachelor?s degree holders and visiting students enrolled at other institutions, High School Programs, and the American Language Programs. The Assistant Director also assists with the launch of new programs and serves as the admissions specialist for newly launching programs through the program build up and initial intake. Responsibilities Hire, train, manage, and provide recurrent training for a team of Admissions Specialists Hire temporary staff and student workers to assist with application processing during peak enrollment seasons and to assist with the communications with submitted applicants Provide strategic leadership for the team, creating opportunities for mentorship and professional development for direct reports Regularly monitor effectiveness and efficiency of team workflows and processes, creating and executing improvement plans on an ongoing basis as needed, and during scheduled update periods Oversee the communication with applicants regarding missing application materials Triage escalated applicant situations, responding to tier 2 issues directly using sound reasoning and judgement, and providing summary along with recommendations for tier 3 issues following pre-established protocols Make decisions regarding tier 1 application requirement waiver requests and provide summary along with recommendations for tier 2 application requirement waiver requests following pre-established protocols Work closely with business and institutional development team members as new partnerships are being developed to communicate admissions standards, application requirements, and document partner requirements Maintain detailed knowledge of partner programs and application requirement details for partner programs, and ensure Admissions Specialists and other admissions team members are aware of partnership details In partnership with Associate Director, Admissions Operations , maintain knowledge of best practices in application fraud detection and ensure the team is aware of fraud detection methods so they can be effective in detecting potential fraud during the prescreening process Work in partnership with Director, Admissions to maintain the application review rubrics for academic programs and assess the effectiveness of rubrics in yielding successful students Take feedback from Admissions Specialists and identify trends and make recommendations for improvements to processes, partnering with Admissions System Managers to implement process improvements Responsible for ensuring applications are reviewed within pre-established timelines utilizing reporting, adjusting team member workflow and assignments, and bringing on temporary staff as needed to ensure timelines are met Conducts regular audits of application reviews and ensures data accuracy across systems Review application decision discrepancies, make recommendations for next steps and see application review through to a resolution, partnering with the Program Director and Director, Admissions as necessary Facilitate application decision dispute process, packaging dispute requests following established protocols to the SPS Committee on Admission Serve as a lead on the admissions team through a new program launch, participating in meetings, assisting with the creation of the admissions rubric, and serving as the admissions specialist through the program build up and initial intake Assist with schoolwide events such as orientation and graduation PERFORMS OTHER DUTIES AS ASSIGNED OR REQUESTED Minimum Qualifications Bachelor's degree and/or equivalent related experience required 3 years related experience A resume and cover letter with salary requirements must be submitted to be considered for the position Preferred Qualifications Experience handling a high volume of applications for multiple, diverse academic programs Experience reviewing transcripts from high school, undergraduate and graduate programs Familiarity with SPS program offerings Other Requirements Demonstrated experience using a relational database, online application system and/or Customer Relationship Management (CRM) tool, ideally in a higher education setting Familiarity with or willingness to learn SIS, Apply Yourself, and other systems, applications and software used by the University and the School Proven track record identifying and implementing improvements to streamline and/or automate complex processes Excellent interpersonal, oral, and written communication skills Exceptional attention to detail, strong organization and time management skills, and the ability to perform routine and non-routine work with changing priorities and aggressive deadlines Sound problem-solving and decision-making abilities, both as an independent entity and as part of a team Ability to handle confidential information in a mature, professional manner Demonstrated experience supervising and/or training a staff Proficiency with Microsoft Office applications including Word and Excel Experience working in a fast-paced environment Background in higher education Some evening work required Equal Opportunity Employer / Disability / Veteran Columbia University is committed to the hiring of qualified local residents.
