Administrative Specialist (HEOa) POSITION DETAILS City College invites applications for Administrative Specialist ? Facilities Management. This position will report to the Director of Operations Support in Facilities Management and will assist in all aspects of Facilities Management data processes. Assist the Director of Operations support in maintaining financial accounts for income and spending; administers the allocation of funds Record and analyze spending, income trends and usage to recommend improvements Monitor, track, and report the key performance indicators of Facilities Management Support the Director of Operations Support to maintains databases related to facilities operational support including facilities inventory, facility condition assessment, building systems life cycle costs, scheduled and planned maintenance, and campus AutoCAD files using university FM system Archibus. In collaboration with the Director of Operations Support assist in developing best practices to maintain data integrity. Review and update data reports (monthly, annually, etc.) for multiple departments including Building and Grounds, Engineering, Asset Management, Environmental Health and Safety, and Campus Planning. Provide reliable and accurate statistics about Facilities Management in an easily accessible and readable format for both internal and external consumption. Respond to assigned ad hoc data and report requests from college constituencies. Review the financial condition of operating centers to ensure efficient use of resources Prepare trainings and assist users in the generation of ADHOC reports. Ability to assist in multiple projects to successful completion. Optimize and troubleshoot reports and dashboards for performance, quality, and data integrity Integrate visualizations and reports into Facilities Management website for consumption. Complete and submit reports mandated by statute, government regulations, or requirements of accreditation. QUALIFICATIONS Bachelor's Degree and four years' related experience required. Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications. Works with appropriate offices related to personnel recruitment, expediting search activities Research coordinates and organizes materials for key events such as promotion and tenure reviews. Supervises and trains support staff and student workers. Manages budget and coordinates purchasing, accounting, and payroll. Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules. Performs related duties as assigned.
