Position Summary The Department of Environmental Health Sciences (EHS) seeks applicants for a full-time Administrative Coordinator position. Under the supervision of the Department Administrator, the Administrative Coordinator will work on finance and administration responsibilities and some essential department functions. The Department of Environmental Health Sciences (EHS) is one of six departments in the Columbia Mailman School of Public Health, supporting a variety of research initiatives and educational programs. EHS has several different graduate programs, including MPH, MS, and PhD programs, and supports >130 faculty and staff members in a variety of research initiatives. The Department of Environmental Health Sciences is currently supporting flexible and hybrid work arrangements. Options will be discussed during the interview process. Responsibilities Provide support to faculty, staff and students for business-related travel planning and arrangements; provide policy information and user guidance for Concur travel and expense reports; act as Concur travel arranger and initial reviewer. Arrange travel for visitors, collaborators and prospective candidates and prepare travel and business expense reports for submission to the Department Administrator via Concur. Coordinate registrations and travel advances for meetings and conferences, ensuring compliance with University and EHS travel policies and procedures. Coordinate and monitor the process of initiating and adjusting Vendor Management (PaymentWorks) Profiles. Assists with meetings, seminars, workshops/conferences, special events, and other research and administrative gatherings as assigned. Assist with information technology, telecommunications, audio/visual hardware and ensures timely resolution of software issues. Process purchase orders, invoices, P-card, and Corporate card reconciliations in relation to the responsibilities outlined here. Serve as back up when the Financial Coordinator is out of the office. Assist with processing payments, purchase orders, and supply orders. Provide support for other financial activities as appropriate. Perform other related duties as assigned. Minimum Qualifications Bachelor?s degree or equivalent in education and experience. Preferred Qualifications Strong written and oral communication skills and excellent organizational skills with ability to handle high-volume workload, manage concurrent projects, meet deadlines, and work as part of a team. Ability to work independently and perform well under pressure, maintaining a high-quality work ethic and performance. Ability to efficiently manage multiple competing tasks, be flexible and adaptable, set priorities and be detail oriented. Demonstrate facility with Columbia University systems and related policies, including ARC, Concur, and PaymentWorks.
