Job Type: Officer of Administration Bargaining Unit: N/A Regular/Temporary: Regular End Date if Temporary: N/A Hours Per Week: 35 Salary Range: Commensurate with experience Position Summary The Administrative Coordinator position functions as the initial point of contact for patients and family members who wish to schedule an appointment. The Administrative Coordinator performs patient intake, collecting all relevant demographic, diagnostic and insurance information. The coordinator will work closely with the other members of the team to ensure that patients are scheduled and evaluated in a timely manner and prepare all patients appropriately for their appointments including the dissemination of patient information and required forms, and other communications as necessary. The Administrative Coordinator provides administrative function to the Diversity & Inclusion initiative under the guidance of the Director. This includes scheduling meetings, reserving conference rooms, maintaining calendars, and making travel arrangements among other administrative responsibilities. Responsibilities Ensures that all patients are treated with dignity and their needs are responded to with care and empathy. Responds to calls from patients and/or family members requesting appointments and schedules appointments with a customer service approach Accurately registers and schedules patients, recording demographic and insurance data and updating established patient records as necessary Creates charts for all new patients, scans medical information into the EMR Mails welcome registration packet to all new patients Verifies insurance information and obtains authorization and referrals as needed Coordinates scheduling of ancillary tests and procedures Ensures all pre-operative paperwork is completed, signed, scanned and submitted Maintains and updates appointment schedules and calendars in a variety of systems including outlook calendars and Epic Conducts appointment reminder calls 2-3 days prior to scheduled appointments Follows-up with "no-show" patients and cancellations to reschedule Requests medical records and diagnostic images for all new patients Answers phones, taking accurate messages and ensuring all calls must be responded to within 24 hours Provides administrative support including managing travel arrangements and calendar for clinician Faxes, photocopies, scans, and types correspondence as needed Performs other responsibilities as needed Minimum Qualifications Bachelor's degree or equivalent in training, and/or experience plus a minimum of two years related experience Preferred Qualifications Previous experience in a medical office a big plus. Bilingual (Spanish) desired. Other Requirements The candidate must be able to work collaboratively within a diverse team of professionals and must be a highly organized and efficient individual.
