What role will you play as a member of the Colgate’s Latin America team?

The role entails varied administrative work applying judgment and in-depth knowledge of organization and policies/procedures, department's activities, terminology, customers, and interdependencies within the company.

The administrative assistant plays a critical role taking action and using initiative and judgment to see matters requiring attention are handled properly and anticipates when changes in workflow are necessary implementing creative solutions.

Who are you…?

You are an architect.-

  • Provide assistance to 3 Vice Presidents and their US based teams

  • Manages and coordinates calendar and schedules meetings

  • Arranges domestic and international travel for trips which may include several destinations

  • Organize, coordinate and support onsite or offsite meetings (including all planning & logistics)

  • Prepares expense reports with minimal supervision

  • Adept at coordinating meetings using new technologies and is a power-user and training resource for new meeting technologies – video/audit/net conferencing

  • Codes and monitors expenses to budget, resolves budget discrepancies. Creates, processes and follows-up on all invoices and purchase orders in a timely fashion and troubleshoot any issues in a timely fashion.

  • Initiates and composes both routine (schedules, letters, memos, e-mails) and non-routine correspondence (surveys, minutes, project plans, announcements and continuous improvement ideas) with significant narrative.

  • Support employee engagement initiatives and activities

  • Creates and uses informal networks to gain support and get things done.

  • Composes and proof-reads both routine and non-routine correspondence with attention to details and minimal supervision

  • Independently prepares responses to requests and/or takes appropriate actions and advises manager of actions

  • Partner with other Admins across US and Latam to collaborate together in day to day work and special projects

Basic Qualifications:

  • High School Diploma or GED (Bachelor's Degree preferred)

  • Minimum three years of executive / high level administrative support experience experience

  • Spanish: Advance ( writing, reading and speaking)

  • Demonstrated proficiency using G SUITE products (gmail, sheets, docs, slides, google meet, etc)

  • Previous experience in Concur expense management system

  • Proven experience in AMEX travel management system

Preferred qualifications:

  • Bachelor's Degree

  • Proven project management skills

  • Proven continuous improvement and documentation skills

  • Strong ability to prioritizes work demands
