CUSTOMER SERVICE REPRESENTATIVE

Description

Summary: Serve as the primary contact for customers on all issues and product inquiries relating to NYSID commodities. Listen and respond to all customer inquiries by assessing and resolving customer concerns and problems. Maintain positive customer relationships through timely and thorough responses to develop high customer satisfaction levels.

Essential Functions and Responsibilities:

Data Entry & Customer Service

  • Accurately enter customer purchase orders into NYSID's software system. (Orders received via fax, email, web, and phone).

  • Enter new purchase orders for non-warehouse products into the accounting system and forward the PO to the appropriate NYSID member agency (vendor).

  • Handle telephone and written inquiries and complaints for purchase orders, order adjustments, proof of delivery, and order status.

  • Investigate and resolve customer, member, and warehouse problems/complaints.

  • Communicate with member agencies and warehouse/inventory regarding potential orders (quotes) and items needing special attention.

  • Monthly Blanket Purchase Order processing – DDSO

  • Manage monthly open order reports.

Inside Sales:

  • Engage with potential and existing customers through phone calls, emails, and other communication channels.

  • Understand and effectively communicate product features and benefits.

  • Collaborate with clients to identify their requirements, provide solutions, and close sales.

  • Occasionally, assist with trade shows, including booth setup, promotional material, and product presentations to drive sales and promote NYSID commodities sales.

  • Follow up with trade show attendees via phone calls, emails, or other communication. methods to establish and nurture leads generated from trade shows.

  • Provide website support.

  • Other duties as assigned.

  • Travel as required.

Qualifications:

  • High School Diploma or equivalent; Associates Degree preferred.

  • 1 –3 years’ experience in inside sales, customer service, or order entry department.

  • Excellent organizational and time management skills (verbal & written).

  • Professional and personable phone and in-person demeanor.

  • Proven ability to multitask in a fast-paced work environment, both independently and as part of a team.

  • Demonstrate a professional and approachable demeanor in both phone and in-person interactions, fostering positive communication and representing NYSID with a high level of professionalism.

  • Strong organizational and time management skills.

  • Proficiency in Microsoft 365 applications such as Excel, Word, OneNote, Teams, and SharePoint. Bonus if candidate possesses experience with Great Plains Dynamics.

Nature of job requires considerable computer, keyboard, and mouse usage, walking around facilities and sitting for long periods of time. Must have visual acuity and hearing ability for communicating with others and gathering and accessing written and computerized information. Ability to access any locations where company business is conducted.

NYSID is the Non-Profit organization designated by the NYS Education Department under the New York State Finance law to serve New York’s Preferred Source program, which works to provide gainful employment for New Yorkers with disabilities. Rehabilitative agencies throughout New York State which provide support services to individuals with disabilities, choose to become members of NYSID. On behalf of these members, and sometimes in conjunction with private sector partners, NYSID enters into contracts with state and local government agencies for goods and services which disabled New Yorkers create or perform. This position helps to administer the financial end of the contracting process.

Job Type: Full Time

Salary: $17.50 - $19.00 per hour

Schedule:

  • 37.5 hour work week

  • Monday to Friday
