The purpose of this position is to provide registrar functions for the campus on a day-to-day basis, as well as serve as the entire college with primary responsibility in one or more of the college-wide registrar’s office functions. The functions of the registrar’s office serve the college and all students by maintaining accurate student records, assisting with proper registration procedures, compliance with graduation requirements, and more.

Responsibilities

  • Live the mission, vision and values of M State to ensure a positive experience for all students and stakeholders. Service to M State students and stakeholders is a core component of the position and work responsibilities.

  • Provide primary oversight in several college-wide functions of the registrar’s office, such as manage the graduation application process for the college, review and process Tri-College University course exchange requests, maintain information with the National Student Clearinghouse, and fulfill student requests for verification of enrollment.

  • Provide oversight to the campus registrar’s office to maintain and monitor student academic records.

  • Support for campus and college operations.

  • Other duties as assigned.

  • Minimum Qualifications

  • Customer service skills sufficient to meet the M State commitment and service standards.

  • English sufficient to fluently speak, write, read, understand and be understood in responding to a variety of written and oral communications, questions, detailed instructions and procedures.

  • Data entry performance skills sufficient to accurately enter data into spreadsheets and databases.

  • Word processing sufficient to quickly and accurately produce technical documents, using proper business grammar, spelling, and usage.

  • Spreadsheet experience sufficient to maintain data and produce reports.

  • Database management skills sufficient to develop and correctly enter information in a database, produce ad-hoc queries, and develop reports for management use.

Preferred Qualifications

  • Associate Degree or equivalent work experience

  • Working knowledge of American Association of Collegiate Registrars and Admissions Officers (AACRAO) guidelines for the provision and retention of student records and all related state and federal legal requirements.

  • General knowledge of higher education policies and procedures related to the admissions, registration and financial aid areas in student services.

  • Knowledge of registration procedures and services sufficient to answer technical questions.

  • Experience with complex office procedures.

  • High technical proficiency in ISRS and Degree Audit Reporting System.

  • Able to maintain confidentiality of private information in order to comply with laws, rules, policies and procedures.

  • Able to work alternate schedule in alignment with bargaining unit contract.

Additional Requirements

In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State‘s vehicle use criteria and consent to a Motor Vehicle Records check.
