Purpose

Contributes to the overall success of the Operations Department ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

Key Responsibilities – Team Lead

  • Oversight on reconciliation, reporting, pricing, indexes, security creations and dividend & interest posting processes to ensure an efficient workflow and successful outcomes.

  • Champions a customer focused culture to deepen client relationships and leverage broader the firm’s relationships, systems and knowledge.

  • “Go to person” if anyone else in the firm has a question with respect to the service their team provides.

  • Prioritize the workload of their team members (with help and coaching from their manager) so that everyone knows what is expected of them.

  • Organizing the training of their team as well as helping to organize vacation schedules, help to meet deadlines, coverage during sick days etc.

  • Work with other team leads and management to ensure disaster and crisis management coverage.

  • Develop and monitor metrics for measuring the team’s progress.

  • Participate in the performance review process for their team members.

  • Initiate and successfully implement numerous impactful improvements.

  • Take on task beyond area of responsibility according to business needs and ongoing projects as required by the firm.

Key Responsibilities – Account Data Management

  • Ensure quality data to support different processes.

  • Integrate new custodians into our daily recon feed (mapping data, build rules and workflows)

  • Support day to day operations processes like report generation, pricing, reconciliation (pool funds, troubleshoot errors in a daily basis, process corporate actions (specialty in drips), class action claims, massive letter creations (example tax packets)

  • Part of the systems migration team: Master data and transactional system.

  • Work with system users to maintain and adapt processes according to new business needs, quality control.

  • Assist Operations team with ad hoc tasks such as data entry, reporting, data quality assurance, data mining, system testing.

  • Review execution logs and address issues on a daily basis.

  • Execute month and quarter-end data loads.

  • Maintain reconciliation systems

  • Verify if reconciliation process is ready to start early in the morning

  • Run a daily automated reconciliation process

  • Design and develop rules to improve the automated reconciliation and data process.

  • Communicate within the department and operations as a whole to assure a successful team effort.

  • Review processes with assigned custodians to be certain best procedures are in place.

  • The Reconciliation Administrator must work with the Trade Settlement Specialist, and other Account and Reconciliation Administrators as a team to maintain accurate records.

  • Report questions and anomalies

  • Answer ad-hoc system or process related queries for staff

  • Involvement in accounts set-up

  • Understand how JFL’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

  • Actively pursues effective and efficient operations of his/her respective areas in accordance with firm’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

  • Champions a high performance environment and contributes to an inclusive work environment.

Education and Experience

  • Technical Environment: Advent (APX, ACD, REX,IMEX), StatPro, Bloomberg, Crystal reports, SQL, Accuterm, Access, SS&C Recon, Excel (master use)

  • Bachelor in Business or related field or experience

  • 5 years of work experience in a similar role

  • Results oriented

  • Ability to lead and foster engagement and motivation within the team.

  • Extensive knowledge of Excel

  • Ability to troubleshoot and resolve errors

  • Ability to prioritize work

  • Experience in databases

  • Strong customer service.

  • Reliable, with a good sense of judgment.

  • Innovative and eager for involvement in news projects and initiatives.

  • High levels of self-motivation and self-discipline.

  • Bilingual in English and French with excellent communication skills, both written and verbal. Pursuant to a language needs assessment conducted by Scotiabank, the successful candidate will be required to be able to communicate in English in addition to French because they will be required to work closely with other groups from head office who operate primarily in English.
