This role is a hybrid work arrangement. Work schedule to be discussed with the hiring Manager according to the guidelines defined by the department.
Your role
We are looking for a highly motivated Executive Assistant to collaborate with the Office of the President & CEO, CBC/Radio-Canada.
This Office is responsible for the successful management of all the priorities of the President/CEO and the Corporation including the development and implementation of national and international strategies and projects that impact the activities of the business directly. The Office also manages ongoing dealings with the Corporations’ Board of Directors, Senior Executive Team and staff of internal components as well key industry and political stakeholders.
In this role, you will support the President and Chief of Staff in various aspects of the day-to-day operations.
This position will ideally be based in Montreal.
Main Responsibilities
Calendar Management
Coordinate the President and CEO’s schedule, meetings and management of documents;
Proactively assist with daily task management and follow ups while managing changing priorities and competing deadlines;
Manage the meeting schedule of the Senior Executive Team, manage an editorial calendar for the agenda of these meetings and coordinate all documentation;
Attend and prepare meeting documents, take minutes as well as action items and ensure follow-ups.
Communications
Assist with the flow of communication, tracking deadlines and targets in a timely manner;
Ensure information and inquiries are directed and processed quickly and efficiently;
Ensure the management of requests for access to information efficiently and quickly;
Compose and edit a variety of materials, including internal and external correspondence and presentations;
Collaborate with internal and external stakeholders and develop good relationships;
Develop and leverage relationships across departments as well as inter-departmental.
Business Travels
Coordinate detailed business travel plans (at times complex), itineraries and agendas on behalf of President and CEO and Chief of staff including airfare, hotel accommodation, ground transportation, etc.;
Complete and track travel and expense claims proactively.
Administration
Support and manage all technology requirements on behalf of the President and CEO and Chief of Staff;
Support and manage various administrative projects;
Responsible for filing, record-keeping, and contract management;
Process invoices and help with various budget tracking;
Investigates and resolves problems related to administrative matters.
We are looking for a candidate with the following
Has work experience in a senior office;
Has proven work experience in a complex organization;
Is a highly organized and detailed oriented;
Works well in a fast-paced environment and under pressure;
Has a strong ability to handle multiple priorities and meet stringent deadlines;
Is a highly effective communicator;
Is team oriented;
Is motivated and proactive, with a solutions-focused attitude;
Is curious and committed to continuous learning;
Has the ability to comprehend and act on complex and sensitive matters;
Has professional tact and diplomacy;
Handles sensitive information with discretion and confidentiality;
Is tech savvy and has superior knowledge with computer applications; specifically with the Google Business Applications, as well as Microsoft applications ( Word, Excel, PowerPoint) etc.; Knowledge of SAP is an asset;
University degree or equivalent;
Relevant experience will also be considered;
Bilingualism (French and English) is essential;
Willingness to work flexible hours, as needed;
Travel may be required.
