Position Summary

The Sr HRIS Specialist plays a critical role in supporting the HR team by managing and maintaining the HRIS databases and related systems. This position involves a combination of technical expertise, data analysis, process improvement mindset, and strong communication skills to ensure the accurate and efficient flow of HR information within the organization. The Sr HRIS Specialist collaborates closely with HR professionals, Payroll, IT staff, and other relevant stakeholders to implement, enhance, and troubleshoot HR systems and processes.

Essential Duties and Responsibilities

HRIS Administration

  • Maintain and update employee data within the HRIS, ensuring accuracy, integrity, and compliance with company policies and regulations.

  • Monitor system usage and data quality, conducting regular audits and troubleshooting any discrepancies or errors.

  • Configure system settings, workflows, and security permissions based on organizational requirements.

  • Provide training and support to HR staff and end-users on HRIS functionality and best practices.

Reporting & Analysis:

  • Generate standard and ad-hoc reports using HRIS data to support HR and business decision-making.

  • Participate in the development and maintenance of the HRIS systems to meet senior management data and reporting needs.

  • Analyze HR metrics and trends to identify insights, opportunities, and areas for improvement.

  • Compile and may analyze compliance reports, such as EEO and AA data.

System Maintenance & Enhancement:

  • Collaborate with IT and vendors to implement system upgrades, patches, and enhancements.

  • Participate in testing new features and functionality, ensuring compatibility and usability.

  • Recommend process improvements and system enhancements to optimize HRIS performance and user experience.

Compliance & Security:

  • Ensure HRIS data security and compliance with relevant regulations, such as GDPR, HIPAA, or other applicable laws.

  • Stay updated on industry trends, best practices, and regulatory changes related to HR technology and data privacy.

HRIS Project Management:

  • Serve as a Subject Matter Expert (SME) on HRIS Systems and process.

  • Participate in HRIS-related projects, such as system implementations, integrations, or process improvements.

  • Coordinate project tasks, timelines, and resources to ensure successful project delivery.

  • Communicate project status, risks, and dependencies to project stakeholders.

Other Duties:

  • Spends a significant amount of time supporting Executives and Payroll on a detailed year-end compensation project (report writing, manual data analysis, inputting of approved changes, etc.).

  • Supports the benefit enrollment process (e.g. entering benefits enrollment into HRIS system during open enrollment, and during life events).

  • Supports Payroll, Accounting, and Total Rewards to finalize year end W2s and 1098’s, etc.

  • Process employee change forms outside of the HRIS system.

  • Perform other duties as assigned.

Required Knowledge, Skills and Abilities:

  • Bachelor’s degree in Business Administration, Human Resources or equivalent education

  • Minimum five years’ experience in HRIS administration or seven years of experience if no degree (preferably in ADP, and Vista Viewpoint).

  • Proficiency in data analysis and reporting tools (e.g. Microsoft Excel, Power BI/Crystal reporting)

  • Proficiency in Microsoft office 365 and Onedrive

  • Strong understanding of HR processes, data management principles, and compliance requirements.

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers

  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service

  • Must be highly credible and trustworthy given the amount of highly sensitive and confidential employee data the position will have access to.

  • Ability to use time productively, maximize efficiency and meet challenging work goals

  • Ability to possess and maintain exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and others.
