Receptionist/Client Services Coordinator

We are seeking aReceptionist/Client Services Coordinatorfor our Minneapolis office. In this role, you will be a first point of contact for many of our clients and visitors as you provide a warm, professional welcome in our main reception/client services area. In addition to serving at the main reception desk, you will direct callers and inquiries to the appropriate department or individual at the Firm. Do you excel at providing excellent customer service? The work hours for this position are 7:30 a.m. to 4:15 p.m. Monday through Friday in our Minneapolis office.

Additional Responsibilities Include:

  • Answer phones and direct callers.

  • Greet clients, customers, and visitors in our reception area.

  • Page personnel as requested through paging system.

  • Schedule conference rooms and visiting attorney offices.

  • Manage parking validations for clients and visitors.

  • Place flower orders for the Firm.

  • Maintain a clean and uncluttered work area, ensuring that sensitive materials and valuable items are secure.

  • Provide additional administrative support to legal assistants, attorneys, marketing, and administration, including typing, proofing, preparing mailings, nametags, and expense reimbursements. May also include perform other administrative duties.

  • Compose documents and emails as directed, ensuring document integrity by producing virtually error-free documents without supervision.

  • Keep supervisor informed of activities and of any significant problems.

  • May perform other duties not listed above.

What we’re looking for:

  • High School diploma or G.E.D. equivalent.

  • At least 1 year of administrative or receptionist experience.

  • Accurate typing skills of 40 w.p.m.

  • Ability to communicate effectively, both oral and written, with all levels of personnel both external and internal.

  • Strong attention to detail and organizational skills.

  • Ability to work independently, be proactive, take appropriate initiative, and adhere to deadlines.

  • Ability to work in and add value to a team environment.

  • Demonstrated ability to focus on priorities and successfully perform job duties under stressful circumstances, including maintaining a calm demeanor.

  • Understanding of the firm’s business and services being provided.

  • Working knowledge of Microsoft Office.

Preferred:

  • Previous receptionist experience in a law firm or professional services organization.
