We are seeking aClient Services Coordinatorfor our Minneapolis office. In this role, you will be a first point of contact for many of our clients and visitors as you provide a warm, professional welcome in our main reception/client services area. In addition to serving at the main reception desk, you will direct callers and inquiries to the appropriate department or individual at the Firm. Do you excel at providing excellent customer service? Additional Responsibilities Include:
Answer phones and direct callers.
Greet clients, customers, and visitors in our reception area.
Page personnel as requested through paging system.
Schedule conference rooms and visiting attorney offices.
Manage parking validations for clients and visitors.
Place flower orders for the Firm.
Maintain a clean and uncluttered work area, ensuring that sensitive materials and valuable items are secure.
Provide additional administrative support to legal assistants, attorneys, marketing, and administration, including typing, proofing, preparing mailings, nametags, and expense reimbursements. May also include perform other administrative duties.
Compose documents and emails as directed. Keep up-to-date on grammar, punctuation, usage rules, special formatting rules, and spelling of legal terminology.
Ensure document integrity by producing virtually error-free documents without supervision.
Keep supervisor informed of activities and of any significant problems.
May perform other duties not listed above.
What we’re looking for:
High School diploma or G.E.D. equivalent.
At least 1 year of administrative or receptionist experience.
Ability to relate well to all levels of personnel both external and internal.
Ability to work independently, be proactive, and take appropriate initiative.
Ability to work in and add value to a team environment.
Demonstrated ability to focus on priorities and successfully perform job duties under stressful circumstances, including maintaining a calm demeanor.
Understanding of the firm’s business and services being provided.
Regular attendance and punctuality.
- Previous receptionist experience in a law firm or professional services organization.
